Track Rental Items (including available and who has what)

Hello,

 

I'm trying to help a friend set this up.

 

There is NO need to track ANY dollar value.  This is strictly for tracking inventory available to check out, who has what checked out, and if they have returned it.

 

They have uniforms that get checked out to cadets.  Then they return the uniforms.  Need to be able to scan barcodes and run report to see how many of each type and size is available and who has items still checked out and who has returned them.

 

What is the best system to set this up in and how would you do it?  Also... they want to use bar code scanning so it would have to be in Enterprise unless someone has managed to add bar code scanning to QBO.

You can create inventory items with zero cost and "sell" them with Sales Receipts with quantity filled in but at a zero selling price and take them back with Credit Memos also with quantity filled in but at zero value.  None of this has any dollar affect. Then run a sales report; anyone with a quantity has items still checked out.

Another option I read about is to use Sales Orders but not sure how that works.

You can do this in QBO with an app that has bar code scanning capability, probably for a lower cost than Enterprise, but Enterprise may have other features that you need.

Another option for QBO is a rental app. I found integraRental and EZRentOut

Currently, there isn't an option to track inventory items according to the available quantity.

 

In the meantime, you have the option to adjust the available quantity of the uniforms you have. Just go to Inventory and then select Adjust Quantity/Value on Hand.

 

Lastly, you're absolutely correct about using bar codes in QuickBooks Enterprise.
