Set up occupational codes for employees

Learn how to set up occupational codes for your employees.

Some states require occupational codes for employees when filing quarterly or annual wage forms. We’ll show you how to find the correct occupational codes for your employees and how to enter it in your payroll product.

States that require occupational codes

The state of Alaska requires each employees' occupational code be included when filing a Quarterly Contribution Report (TQ01C).

The Full Occupational Title or Code is a six-digit code determined by the position held by the employee. If the employee works in one occupation, report the job that requires the highest level of skill or education. If the skill level is the same, report the occupation in which the employee spends the most time. You can find the code for each of your employees in the Alaska Occupational Coding Manual.

Once you have the correct codes for your employees, you can start to set up their occupational codes.

The Indiana Department of Workforce and Development now requires Standard Occupational Classification (SOC) codes for employees. You can set up these occupational codes in QuickBooks so it shows on the Quarterly Employee Wage Report.

Find the correct occupational code for each of your employees. Follow the steps on the website to get the occupational code. Make note of the numerical code assigned to the occupation, as this is what you'll enter in QuickBooks.

Once you have the correct codes for your employees, you can start to set up their occupational codes.

The Louisiana Workforce Commission now requires Standard Occupational Classification (SOC) codes for employees. You can set up these occupational codes in QuickBooks so it shows on the Quarterly Employee Wage Report.

Find the correct occupational codes for your employees. Choose the code that best describes each employee's occupation. Make note of the numerical code assigned to the occupation, as this is what you'll enter in QuickBooks.

Starting in the first quarter of 2024, employers must report Standard Occupational Code (SOC) information for their employees in the quarterly wage file reports due by April 30, 2024. You can set up these occupational codes in QuickBooks so it shows on the Quarterly Employee Wage Report.

The Washington Department of Employment Security requires Standard Occupational Classification (SOC) codes for employees. This requirement starts with reports filed for Q1 2024 (April 2024). Failure to provide this data will result in a penalty to your business. You can set up these occupational codes in QuickBooks so it shows on the Quarterly Employee Wage Report.

Find the correct occupational codes for your employees. Choose the code that best describes each employee's occupation. Make note of the numerical code assigned to the occupation, as this is what you'll enter in QuickBooks.

Once you have the correct codes for your employees, you can start to set up their occupational codes.

The West Virginia Department of Workforce requires Standard Occupational Classification (SOC) codes for employees. Law SB548 was passed in June of 2024 and requires employers to provide SOC code, job title, and county of work. You can set up these occupational codes, the job title, and work county in QuickBooks so it shows on the Quarterly Employee Wage Report.

Find the correct occupational code for each of your employees. Follow the steps on the website to get the occupational code. Make note of the numerical code assigned to the occupation, as this is what you'll enter in QuickBooks.

Once you have the correct codes for your employees, you can start to set up their occupational codes, job title, and work location county.

Set up employee's occupational codes

Note: Not sure which payroll service you have? Here's how to find your payroll service.
  1. Go to Payroll, then Employees (Take me there).
  2. Select your employee.
  3. From Employment details, select Start or Edit.
  4. Enter the occupational code. then select Save.
  5. Do the same for each applicable employee.

The occupational codes will print out on your wage reports.

  1. Go to Payroll, then Employees (Take me there)
  2. Select your employee.
  3. From Employment details, select Start or Edit.
  4. Add or update your Job title.
  5. From Work locations, select Edit ✎.
  6. Add or update the County.
  7. Select Save.
  1. Go to Employees, then select Payroll Setup.
  2. Select Employee Setup, then choose Employee List.
  3. In the Review our Employee list window, select an employee, then choose Edit.
  4. Select Next until the Setup occupational information window appears.
  5. Select the appropriate Occupational Code field and enter the appropriate code, then select Finish.
    • West Virginia only: When directed, enter the County Code.
  6. Repeat steps 3 through 5 for each applicable employee.
