Assisted payroll not yet showing W3 for download and print

I have assisted Payroll and need to print my W3 for my records and CPA verification. It's not showing up yet, when will it be available to download and print?

Thanks for reaching out to us, @Tseclinic. I'm here to help provide some information about viewing and printing the Form W-3 in QuickBooks Online (QBO).

 

When you electronically submit the W-2s through our Online Payroll service, we automatically send your W-3 information to the appropriate government agency. 

 

The W-3 form is only for an employer copy and not the official form for submission. Here's how you can view and print the W-3 form:

  1. Choose Taxes.
  2. Click Payroll Tax.
  3. In the Forms section, click Annual Forms.
  4. Choose W-3, and then View.
  5. A PDF form opens, and then select the printer icon to print.

For additional reference, you can check this article: Form W-3: Transmittal of wage and tax statements.

 

I also appreciate it if you can provide some error message when trying to view the form. This way, I can provide additional steps to fix this. 

 

In the meantime, you may consider logging in to your account using a private browser. This mode will not save any history, making it a great place to identify browser issues.

 

Access your QBO account in a private/incognito browser. You may use these shortcut keys that I've listed below:

  • Google Chrome: press Ctrl Shift N  
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

Then, check if the data are updated. If it shows, go back to your regular browser and clear the cache to delete stored site data and improve the system performance. Also, you can use other supported browsers. It could be that the one you're currently working on has a temporary problem with QuickBooks.

In QuickBooks Desktop Payroll Assisted files this form with your W-2s on your behalf. Your company W-3 will be available online in the Filed Tax Forms section of the Payroll Tax Center when your W-2s are available.

 

In the meantime, this is also where you will find quarterly and annual payroll tax returns filed by our service

Really?  That seems odd because when eFiling there is no W-3.  Are you sure there will be a (fake) W-3?  If so, why would Intuit do that? It would serve no purpose at all.

When will these forms be available, I'm also needing my W-3 for our accountant, and I'm going through a workers comp audit and needing some of the other forms for that by tomorrow, and also one of my employees has not received his W-2 and I can't get that either or even open any of it. Very frustrating.

This isn't the kind of service we want you to experience, @sholliday. And I'm here to make it up with you.

 

Let's go to the Filing History section to check if the W-3 form is already available.

 

Here's how:

 

  1. Go to the Employees menu, then select Payroll Center.
  2. In the Filing History section, click the E-Filings tab.
  3. If you see the Annual Form W-2/W-3 from there, it means that this is already available.
  4. Double-click the form to open.
  5. In the Payroll Tax Form window, click Next four times so you'll be prompted to the Form W-3 page.
  6. Click Print for Your Records... to get a copy of it.

However, if you can't see the W-3 form from the E-Filings tab, I suggest updating your payroll tax table. For more guidance, feel free to check out this article: Get the latest payroll tax table update.

 

If the form still isn't available, I recommend contacting our Payroll Support Team. This way, they can check on your account in a secure environment and help you print the W-3 form.

 

On the other hand, you can let your employee access their W-2 form in QuickBooks Workforce. From there, they can download or print their W-2s form.

I have assisted payroll and have went to Filed Tax Forms and my W3 for 2019 is still not available. My CPA has been asking for it for 3 weeks now. When will it be in the assisted payroll so I can access it?

Let me walk you through printing your W-3 in QuickBooks Desktop (QBDT).

 

The form is already available in QBDT. I recommend contacting our QuickBooks Desktop Assisted Payroll Team if you aren't seeing the form. They can pull up your account in a secure environment and provide a copy for your CPA.

 

To print the W-3 form

  1. Open QuickBooks Desktop.
  2. Access Payroll Tax Center.
  3. Choose Employees, then Payroll Center.
  4. Click the File Forms tab.
  5. In the File Forms section, click View/Print Forms & W-2s.
  6. Enter your payroll PIN.
  7. Click the Filed Forms link.
  8. Select either the Federal Employer Copy Of W-3 link for the year you need to print. 
  9. Follow the Adobe Reader prompts to print or save a copy of the form you selected.

I have full service payroll with QBO, but I can't print and view my W3. When I click on view, nothing shows up.

Pleaase advise as my CPA is requesting for it.

  1. You say:

However, In the QuickBooks Premier 2018 edition, when I click on "Filed Forms" the W3 is not there.

This solution is not accurate for 2018 Premier Desktop.

 

The answer is that the W3 form is mislabeled as Q1 W3 and you have to scroll through the EOY, Q4, Q3, and Q2 filed forms to find the EOY 2020 W3 form with the Q1 forms. Good luck.
