CAN I CHANGE A PAYROLL CHECK FROM PRINTED TO DIRECT DEPOSIT AFTER SUBMITTING PAYROLL? PAYROLL RUNS 1-9-26

Hi, @petethepatriot. Thank you for reaching out. I'll be happy to walk you through the options available for changing a printed check to direct deposit. Let's review the steps and timing to ensure smooth assistance.

First,  cancel the paper check. If you intend to switch to direct deposit, please be aware that there is a required lead time for processing.

Please note that this may result in a delay in the employees receiving their paycheck, as direct deposit transactions typically take time to set up and complete.

To avoid disruptions, inform your employees about the potential delay. Then, edit, delete, or void the paycheck:

  1. Go to Payroll, then Employees
  2. Select the Paycheck list.
  3. Select the paycheck(s) you'd like to delete or void, then select EditDelete, or Void.
  4. Select Yes.

Please let me know if you have any further questions or need additional assistance.

CAN I CHANGE A PAYROLL CHECK FROM PRINTED TO DIRECT DEPOSIT AFTER SUBMITTING PAYROLL? PAYROLL RUNS 1-9-26

Has your issue been solved? We have been doing direct deposit for years, never changed the setting, and suddenly QB is telling us we need to print paper paychecks. Every employee setting is set to direct deposit.

CAN I CHANGE A PAYROLL CHECK FROM PRINTED TO DIRECT DEPOSIT AFTER SUBMITTING PAYROLL? PAYROLL RUNS 1-9-26

Hello there, Athena.

There are several reasons why your payroll setup may undergo sudden changes. QuickBooks makes these automatic adjustments to maintain compliance and prevent potential issues.

Here are the common factors that have led to the change:

  • Employee direct deposit details may not be properly set up or verified, disrupting payroll processing.
  • Bank accounts linked to payroll might have been removed, changed, or flagged as invalid.
  • If the employer’s or employee’s bank account fails verification, QuickBooks defaults to paper checks as a safeguard.
  • Payroll may have been submitted too late, as direct deposit requires processing at least two business days before payday.

To resolve this issue, I recommend reviewing your company’s payroll setup to ensure that direct deposit is configured correctly.

You can refer to the following articles for guidance on how to set up your company and employees' payroll for direct deposit:
