Buy nowHi!
We have a newer employee who has not accrued a lot of Vacation time yet but is needing to take some time off from work that will exceed what she has accrued. Can we still use more vacation days than she has to show a negative balance on paystub as well as in Quickbooks? If so, will the negative balance eventually correct itself to be positive again as she continues to accrue more vacation?
Thank you in advance!

Yes, you can use more than is available, and then the balance will become negative. And then future accruals will increase it until it is positive again.

The negative hours are tracking properly within QBO and appear accurately on reporting, however an employee just shared a screen shot from the online portal of their last paycheck and it did not show their PTO as a negative - it was a positive?
This thread is for Desktop, which works properly and shows negative time balances.
I'm completely not surprised that QB Online doesn't work as required. It's quite typical.
Hello there, @mwzak6. I'm here to share some details regarding your negative vacation time in QuickBooks Online (QBO).
Currently, there isn't a built-in feature to enter negative hours for employees within the payroll system. The system uses these hours to calculate the employee's compensation for the payroll run.
Otherwise, you can set up a payroll deduction to reduce your employee's pay amount.
Additionally, you can refer to this article for the steps on updating your pay schedules: Set up and manage payroll schedules.
Let me know if you need further help with your vacation time in QBO. I'll be here to provide you with the help you need. Keep safe.
Thanks for jumping in on this, but maybe my question wasn't clear.
QBO is currently tracking negative PTO within payroll and reporting I run within QBO online. I have an employee where reporting shows -28, which is correct. When that employee looks at their paystub online, they are seeing 28 (instead of -28).
RE: Currently, there isn't a built-in feature to enter negative hours for employees within the payroll system.
Nice to know, but no one asked to enter negative hours. Did you even read the customer's post?
You of course can enter negative hours in QB Desktop Payroll, since that a useful thing to do. So that's yet another way QB Desktop is better than Online.
RE: The system uses these hours to calculate the employee's compensation for the payroll run.
We all know that, but it's not a reason for QB Online to be deficient and not allow for negative hours. Which is obvious.
RE: Additionally, you can refer to this article for the steps on updating your pay schedules
Totally irrelevant. No one asked about pay schedules.
