Changing EFTPS password in Quickbooks Pro 2018

Because of the recent change to the EFTPS website, I changed the password online within the EFTPS website. I have not, however, been able to locate where to do that within Quickbooks. The instructions I have located state there should be a "check box" within the liability payment window that I would uncheck to change the EFTPS password. It is not there in my version. Any assistance would be greatly appreciated.

I can help you update your e-payment credentials, PavingP.

 

Here are the steps: 

  1. Click Employees tab. 
  2. Select Payroll Taxes and Liabilities, then click Pay Scheduled Liabilities
  3. Select Federal taxes from the list. 
  4. Click View/Pay. The Liability Payment screen will pop up. 
  5. Click E-pay at the bottom of the screen. You'll see the E-pay Login screen. 
  6. Enter your new EFTPS information. 
  7. Uncheck/recheck Remember my information for next time box
  8. Click Submit if you have liabilities to pay. Just click Cancel if none.

I'm using QB 2019 Pro Plus Desktop.  Since changing my password @ EFTPS.gov I haven't been able to epay our 941 deposits thru the QB "Pay Liabilities" tab.  Every time I try, QB will not allow me to click the "submit" button b/c the new password is 13 characters.  I hover over the red exclamation mark to the right of the pw field & it says, "Value Must be Between 8 and 12 Characters".  I thought the password was going to be updated in QB to accept between 12-20 characters since EFTPS.gov was 12-20 characters -- yet I still cannot update/use a 13 character pw in QB & pay our 941s thru QB... Please, PLEASE advise.  Thank You!

Hi there, @Bunn_NC.

 

Let's make sure that your QuickBooks and payroll tax table latest releases are updated. This way, QuickBooks will accept your new 13-character EFTPS password.

 

Since password length requirement didn't increase, I suggest updating QuickBooks to the latest released. Here's how:

 

  1. Go to the Help menu, then select Update QuickBooks.
  2. In the Update QuickBooks window, go to the Update Now tab.
  3. Click Get Updates.
  4. Restart your QuickBooks.
  5. Accept the option to install the new release when prompted.

Once done, let's now download the latest payroll tax table to update.

 

  1. Go to the Employees menu.
  2. Select Get Payroll Updates.
  3. Choose the Download Entire Update checkbox.
  4. Select Download Latest Update.

After which, a window will appear when the download is complete. For your reference, you can read this article for the detailed steps and information: Get the Latest Payroll Tax Table Update.

 

If updating the latest release didn't work, I recommend contacting our Payroll Support Team. This way, they can check your account in a secure environment and help you from there. They can also create an investigation ticket if other customers are experiencing the same thing.

I have/had already installed the latest PR updates & also checked for new QB releases/updates via the "Help" option on the toolbar..... Even so, QB2019 Pro+ (desktop) still did not allow me to process the 940 via the "Pay Liabilities" tab... As you suggested, I'll follow-up with the Payroll Support Team.

Try inputting just the first 12 characters of your new password.  After experiencing the same error message after attempting to put in my new 17-digit password, I went back to EFTPS site, and logged in with 17-digit password.  Then attempted to change password (it only allows a password change every 10 days).  But I noticed that it still has the same instructions as before and advises to create a 8-12 character password.  I logged out and then logged back in with only the first 12 characters of the 17-digit password I created.  It worked!  So it appears that the EFTPS site has also not updated it's credentials and is only taking the first 12 characters when you log in and ignores the rest.  I have resubmitted one of my rejected liability payments and will wait to see if it is accepted.

After substituting the first 12 digits and resubmitting PR taxes.  Each one shows that the Agency accepted it.

Quickbooks NEEDS TO UPDATE THEIR PASSWORD PARAMETERS FOR EFTPS!!!  States value must be 8-12 characters yet my EFTPS password was updated to 13 characters!  So I had to go in and request a new password to fit in quickbooks parameters they think is EFTPS parameters.  At first, the system stated it was too soon to change my password- so I called in to the EFTPS help line since quickbooks chat was on hold for over an hour - and was told to go in through the login screen and click the link at the bottom "need a password".  The gal stayed on the phone with me through this to make sure it reset.   So MAKE SURE YOUR NEW PASSWORD IS 8-12 characters per quickbooks not EFTPS rules.   The gal did make note that QB needs to make the correction.

Let me clarify things out why you're required to enter 12-30 characters for your password.

 

Electronic Federal Tax Payment System (EFTPS) lets you submit payments for 940 and 941 to the IRS.

 

IRS is implementing the following requirements for your EFTPS internet password effective October 24, 2019:

  • A 13-month expiration policy will be implemented. 
  • For QuickBooks Desktop Payroll Enhanced users, the password length requirement will be increased from 8-12 characters to 12-30 characters.
  • If you have updated your password in the past 13 months, your existing password with 8-12 characters will still work.
  • If you haven't updated your password in the past 13 months or is the system-generated password, your payment will be rejected. And you'll be forced to update your password on the EFTPS website before you can send the payment.

I am having the same problem.  I have 13 characters for my password and when I try to change it, it says I have too many characters.  Will we need to got away from quickbooks to make these payments going forward?

Just for clarification though, were you able to perform the steps suggested by my colleague Mark_R above? If not, I suggest doing it so.

 

However, if you had and you're still unable to change your EFTPS password, then I recommend reaching out to our support team. They have the right tools to check your account from a secure environment. From there, they can further investigate why you're unable to change your EFTPS password in your QuickBooks Desktop (QBDT) account. Let me show you how.

 

In your QBDT account:

  1. Go to the Help menu.
  2. Select QuickBooks Dekstop Help.
  3. Click Contact us.
  4. Enter a brief discussion of your concern and click Continue.
  5. Choose your preferred way to connect them.

In the meantime, you can login to your EFTPS account and submit your payments from there.

Thanks for all the helpful info!!  I left my EFTPS password as is - as I changed it to the 13 characters...  In QB, I entered the 1st 12 characters of the 13 (ex:  EFTPS = abcdefghijkl!,  QB = abcdefghijkl ) & the payment was successful & accepted!   This is effective as of the last 941 pymt I just made a few minutes ago!!

Still not working...  hey QB, you're getting paid, through our enrollment, to make things happen.  EFTPS changed the rules and you're not with the program.

 

Trying the short circuit version (just using 12 characters of our new 16 character password) doesn't work.  And of course, your program won't accept anything longer than 12.  Yes... my system is updated.

You can refer to these steps to contact them:

  1. Open QuickBooks.
  2. Go to the Help menu and choose Support.
  3. Under Additional resources, click on Contact us.
  4. Select a topic and scroll down to the bottom of the page.
  5. Choose either Get Phone Number or Start a Message.

Don't laugh... already tried that.  It takes me to the 'web site' version of help, and after clicking on 'desktop', it creates a big banner across the top:

 

"STOP!  Open QuickBooks to contact us".

 

It would be comical...except for the time and energy spent.

Let's click Continue as a guest and select your QuickBooks Desktop product so you can reach our Customer Care Support.

  1. On the Stop! Open QuickBooks to contact us page, click Continue as a guest.
  2. Select your QuickBooks Desktop version or product.
  3. Enter EFTPS Password in the Tell us more about your question: field.
  4. Click Start a Message.

In addition, I'd also recommend updating your QuickBook Desktop to the latest released version. This way, you can easily contact our support by going into the Help menu if needed again in the future.

OK folks...  1 hour and 10 minutes on the phone with tech, doing a screen share..ugh, after having read dozens and dozens of threads/replies.

 

And the answer is; they can get it to work in some systems, but most, no.  The answer is, pay your liabilities through the EFTPS site, and they're working on a fix.  If I'd have known before hand, I would have redone my password at exactly 12 characters.  Then it will work with both systems.  Would be an easy fix except for the gov not allowing you to change the password more frequently than every 10 days. 

Sigh...
