Buy nowI have about 20 contractors and for some reason the 2 most recent hires cannot find my business. They were both using desktop and no other contractors have had this issue.
Has anyone else had this happen?
Hi there, @emeraldkingdomparties.
To further address this matter, I have a few more questions to better understand your situation.
First, how did your contractor attempt to find your business? Did you send them an invitation?
Next, I noticed that you used the QuickBooks Online (QBO) tag here in the Community forum, but mentioned that your two contractors are using desktop. Could you please clarify whether you mean QuickBooks Desktop (QBDT), the QBO desktop app, or accessing QBO through a desktop computer?
Please note that QBO and QBDT are two different versions of QuickBooks. If you invited your contractors to access your company file, they can only do so on the same platform on which they were invited.
If they're using the QBO desktop app or accessing QBO through the web, ensure their names and email addresses are entered correctly so they can receive the invitation and access your company files.
I'll be on the lookout for your reply.
I did send them invites via their emails.
I guess using QBDT then? I have never signed up for my own company so I have 0 idea how it works on their end. They said they clicked the link in the invite and then couldn't find our company.
Their emails and names are right.
I appreciate you for having the time to clarify your concern, @emeraldkingdomparties.
Since you mentioned sending email invitations to contractors, could you let me know which QuickBooks platform you are using? Specifically, are you using QuickBooks Online (QBO) or QuickBooks Desktop (QBDT)?
If you're uncertain about which QuickBooks subscription you are using, here’s how to find out:
Once we confirm your subscription type, please ensure you have Primary Admin access, as this is required to send invitations to your contractors.
Also, please ensure that your account is active so contractors can successfully open and accept the invitations.

Ok, I have QBO.
All my other contractors have filled out their W9s perfectly fine. It's just these latest 2 that are having issues.
Thank you for confirming, Emerald.
The challenges your new hires are facing in locating your company and completing the W-9 form may stem from several potential reasons:
To resolve this issue, begin by verifying the accuracy of the email address associated with the contractors' invitations. Advise them to clear their browser cache and use a supported browser to avoid technical conflicts. Additionally, ensure they log out of any active QuickBooks accounts before accessing the link, as this will prevent account conflicts.
After completing these steps, we can resend the invitation by following this process:
When the contractors receive the new invitation, ensure they are signed in or create a QuickBooks account with the correct email address.
For additional guidance, refer to this instructional article with video tutorials: Invite a Contractor to Add Their 1099 Tax Information.
If the issue persists, I recommend contacting QuickBooks Online phone support for further troubleshooting. Alternatively, you can also manually enter the contractor's W-9 information.
