Delete A Contractor and Sending Reminder Emails

This is more of a suggestion because after 30 minutes with support we discovered there's actually no way to fix the issue. It's just a flaw in the system. Please pass on to any Devs or Engineers for the Quickbooks Online software:

 

There needs to be a way to delete contractors. Not make them inactive, which is fairly simple, delete them completely.

 

I needed this feature bc one of my contractor's was unable to enter their W9 and direct deposit information bc the link they were sent from Quickbooks expired. And there is no way for me to send a reminder email. According to the support document here: https://quickbooks.intuit.com/learn-support/en-us/set-up-contractors/invite-a-contractor-to-add-thei... There used to be a button that allows for sending reminders. For whatever reason it no longer exists and now instead it says "If you don't hear back soon, contact them directly."

 

I contacted them, got their information and tried to add it manually but the software wouldn't let me update the information, apparently because the info was already requested from them through the system. So we hit a brick wall. No way to enter the info manually, no way to send a reminder for them to do it. So I thought fine, delete this profile and start over from scratch. Just to discover you cannot delete contractors only make them inactive which means I would technically have 2 entries of the same contractor to make life confusing.

 

This issue can be fixed in 3 ways by whoever updates the Quickbooks Online Software:

1. Put back the contractor reminder email button

2. Allow for manual entry even if info was already auto requested through QB

3. If neither can be done, allow for the deletion of inactive contractors.

 

Update: My contractor sent me the email she received and it is telling her to contact the company administrator (aka me) if she needs another invitation and the software is telling me to contact her... unacceptable guys come on.

This isn't the kind of service we want you to experience, @TCHeadley.

 

If I were in your shoe I would feel the same. Allow me to provide a workaround so you'll be able to create a contractor's profile in QuickBooks. You can add a new profile of your contractor and just enter a middle initial or remove it to vary the existing name on file. This time, have your contractor use a different or a new email address to send the invite to.

 

To do so:

 

  1. Go to Payroll and then select Contractors.
  2. Click ta Add a contractor button.
  3. Type in the contractor's name and make sure to remove or add a middle initial to make it unique on the file.
  4. Enter the new Email address.
  5. Click Add contractor.

Once you're done, inform your contractor to check their email and fill out the details within 24 hours. This way, the link won't get expired.

 

About the Send a reminder or Send email button, I'll take note of it and send feedback to our product engineers. That way, they can take a look at it and work on fixing it in future updates.

Issue continues, Sept 2021. It should show that the link has expired, not just an email has been sent and we are waiting for a response.

There needs to be a way to resend a link.

I did make my contractor "inactive" and make a new contractor using the middle initial.

I was able to send a link using the same email address, and my contractor was able to open it.

I am experiencing the same thing currently. I attempted to contact quickbooks for help and got passed around to almost 10 different people and no one would help me. They all kept saying oh that's payroll or oh that's online services and it was ridiculous. I'm about to request a refund since I STILL can't get this resolved and no one will help. This is ABSOLUTELY AWFUL and not user friendly. For as much money as quickbooks makes they seem quite incompetent in the customer service department and programming.

I understand how you feel about the email feature on contractors. Let me turn the table around and share insights about this.

 

As of right now, we're considering your sentiments about being able to send a fresh invitation or reminder to let contractors enter their W9 and direct deposit information as feedback. Please send feedback by going to the Gear icon and choosing Feedback. However, please know that even if there's a pending email, you can still add W9 and direct deposit details.

 

For W9s, just select the contact, click the Personal Details section, and follow the onscreen instructions to finish the setup.

 

 

For direct depot, you can follow these steps:

 

  1. Select Payroll, then Contractors.
  2. Click the existing contractor to add their bank information.
  3. Select Bank account.
  4. As prompted, enter the following:
    • Account Number
    • Account Type
    • Routing Number
    • Account holder Phone Number
    • Account holder Full Name
  5. Select Save.

 

You can send payments to your contractors after doing the setup above.
