Doubling of employees bonus on YTD for checks and Vacation Accruement Error

So in the past year I have been thrown into a situation that I have not dealt with in the past.  I took over many of the operations of my dad's business (until December when he pasted and now myself and my siblings are owners of the business).  As part of the operations I took over, one is dealing with employee payroll.  In all my years of using Quickbooks I have not needed this as I always worked on my own with no employees.

I started running the Payroll full-time via QB back in April of 2020, besides the random mistake (which would be quickly fixed), I have had no problems with it.  That is until now.  For Christmas, we issued each employee a bouns check, no problem, but what we did find was for two employees on their next check, the last one of the year, the YTD total for bonus was now double.  So for example the bonus was only $500, but the YTD total shows $1000.  As far as I know, no other bonuses were given throughout the year and the check prior to the bonus being given did not show any bonus amounts listed on them.  Not sure what happened, but need to figure out what it is and get it corrected, before we generate our W2's for the year, so that they right amount of payroll is reflected.

 

The second issue is, one of these two people also asked to get 40 hours of vacation time added to their paycheck (claim it before they lose it type deal), so when I ran her payroll for the week of Christmas, we added her time that she worked and add 40 hours of vacation and it paid out correctly, but, instead of debiting her accrued vacation time by 40 hours, it actually added 40 hours to her accrued time.  So she went from having 100 hours of vacation to having 140 hours, instead of dropping to 60 hours remaining.

 

Any help or insight would be appreciated.

As far as the YTD, if you run a Payroll Summary Report for last year, you should be able to match the earnings for the employee seen on the report with the paycheck stub.

 

If the report says $500, and the check says $1000, which I've never seen happen, there's probably something wrong with the data file. The thing is, the paycheck YTD numbers are calculated for display and printing much like a report is when you run it. In both cases, the numbers should always be the same as the detailed data in your file.

 

If the Payroll Summary Report report does show $1000, then you can double-click the number to see what contributes to it.

Not sure about the addition to vacation hours. The only thing I can think of is that negative hours were entered on the paycheck, but that would have resulted in negative vacation pay, which you indicated didn't happen.

 

If you're sure the vacation pay is right and the balance is wrong, you can edit it on the employee record and correct it. When editing the employee, click Payroll Info tab and then the Sick/Vacation button.

Thank you for that information.  I will run those reports and see what's up and will come back to let y'all know what I find.  One of the times it hits me that my dad is not here now, since this was his thing and he's probably run into it before.

Thank you again for that information.  I did run a report and it seems they both had a bonus check, either issued or reissued from Christmas 2020, sometime during 2021.  So that is taken care of.  Now on to the Vacation issue and try to determine what happened.
