e-file payroll reports quickbooks desktop

Hi, QB Community.  Little back story: Our firm used a lovely program to transfer QB files from our client's computer to our computer. The program had the option to "lock" the QB file on the client's computer so we could make changes, then send the file back, and it would "overwrite" their QB file, so they would now have the same file we have in our office.  It was beautiful.  Unfortunately, the program's company was hacked a few weeks ago and has since gone out of business since they could not even see what those hackers wanted for ransom.  

 

My 1st question...for this quarter, we were going to try to use accountant's copy to e-file the payroll tax reports. When I opened the accountant's file on my computer, the e-file button was greyed out.  I know the form is set to e-file on the client's computer, so no idea why I can't e-file. Any thoughts to this?

 

My 2nd question...I went ahead and converted the accountant's copy to .qbw so I could e-file.  Now, there is no record of e-filing on the client's copy of QB, but there is on my copy of QB.  Where is the file located that shows the e-filing history, so I can add it to the client's folder...is it inside the tax forms folder or the tax forms history folder??

 

My 3rd question...any other programs you guys use to transfer a QB file back and forth from clients that will lock them out while we make our changes?  I am not a fan of accountant's copy with all the restrictions. So far, it has been a little painful, compared to lovely program transfer method mentioned above. 

 

This is my guinea pig attempt so any help is appreciated. 

 

If Intuit support decides to chime in, yes, the client has updated their QB file, and yes, the client had updated payroll before sending the accountant's copy.  They also did a backup and verify with no errors.

I understand how concerning it must be for your firm to experience the consequences of the program's company being hacked and subsequently going out of business. It's unlikely that such a useful tool is no longer available due to these circumstances. Let me go through your questions to help you out.

 

For your first question, please note that the accountant's copy is not intended for filing taxes. The filing process should be done in the client's company file, where the accountant's changes are imported. I suggest advising your client to create a new accountant's copy for you to work on. However, kindly inform them that they need to remove the current accountant's copy restriction before generating another one.

 

For your second questions, there's a folder created for payroll tax forms in QuickBooks Desktop. Here's how you can look for your clients' forms in their computers:

 

  1. Open the Windows Start menu.
  2. Search for and open File Explorer.
  3. Browse your computer for this folder: [your company name] Tax Forms. This folder has all of your payroll data.

 

As for your third question, I'm unable to suggest a program, so suggest finding third-party apps that you can use. Other users may also suggest one for you.
