Employee Direct Deposit

I am starting to email our employees their direct deposit paystubs.  I want to change the date so they are emailed out on the payday.  Can this be done?

Employee Direct Deposit

Hi there, ASteinhoff. Let me provide some information about changing the date for emailing the paystubs in QuickBooks Desktop (QBDT)

In the QBDT, the option to schedule the email of the paystubs is not available. You can only change the paycheck dates.

You can consider sending the paystubs on the exact date of the payday. However, there's another way for you to avoid sending your employees paychecks via email.

You can invite your employees to QuickBooks Workforce to see their pay stubs. I can show you the steps on how to invite your employees in QBDT.

Here's how:

  1. Log in to your QuickBooks Desktop as the QuickBooks Administrator.
  2. Click Employees, then select Employee Center.
  3. Double-click the first employee you want to invite.
  4. Fill in the email address in the Address & Contact field.
  5. Repeat steps 3-4 for all employees you want to invite.
  6. Select Employees, then click Manage Payroll Cloud Services
  7. Turn the status On from the QuickBooks Workforce. Then, select Invite Employees.
  8. Sign in to your Intuit Account.
  9. Select the employees you want to add to Workforce, then add their email addresses.
  10. Select Send Invite. Once sent, you should see Invited in the Status column.

Furthermore, you can refer to this article for detailed steps on how to invite your employees to QuickBooks Workforce: Invite your employees to QuickBooks Workforce.

In addition, you can refer to this article to learn how to cancel or void contractor payments in QBDT: Void or cancel contractor payments.

Should you have further concerns about managing your paystubs, don't hesitate to comment. I'm always here to help you.
