How do I set up a deduction for the New York State Paid Family Leave? Deductions are allowed to begin on 7/1/17

Here's how you can set up the NYS Paid Family Leave deduction in QuickBooks Desktop:

 

  1. Go to List and choose Payroll Item List.
  2. Click the Payroll Item button, then select New.
  3. Choose Custom Setup and hit Next.
  4. Select Deduction and hit Next.
  5. Enter the name for the NYS Paid Family Leave and the applicable fields then hit Next until the Finish button.

Here's how you can set up the NYS Paid Family Leave deduction in the employee section:

 

  1. Click Employees.
  2. Choose Employee Center.
  3. Choose the employee name entitled for the deduction.
  4. Click Payroll Info
  5. Under Additions, Deductions and Company Contributions, click the Item Name
  6. Under Item Name, Choose NYS Paid Family Leave.
  7. Under Amount, enter if you have a fix deduction amount.
  8. Under Limit, enter if you have annual limit amount for the deduction.
  9. Click OK.

When creating a paycheck, you'll need to manually remove the NYS Family Leave deduction amount by zeroing it out if you want to start deducting it on July 01, 2017.

The deduction will be .126% of a maximum gross of 1305.92...

The deduction will be .126% of a maximum gross of 1305.92.  Not sure how to set up a weekly limit of $1.65.

Currently, there isn't an option to set up the weekly default rate and limit in QuickBooks Desktop. There are only three limit type options that you can set up (Annual-Restart each year, Monthly, Restart each month, and One-time limit). However, you can divide the weekly limit of $1.65 into daily rate deduction and enter it manually when creating the paycheck for that employee.

For now, our compliance team is gathering all the necessary information to have the new update to be integrated in QuickBooks Desktop.

Technically, there is not a weekly limit of $1.65, but rather a yearly limit of $85.56.  An employee who earns more than the NYS average week;y wage, may have more than $1.65 deducted.  However, once that employee has a total of $85.56 deducted for the year, no more should be deducted for PFL until the next year.
