Hi khazelip,

Let me help you set up your Arizona sick leave.

Here's how:

  1. Click Employees at the top menu bar and select Employee Center.
  2. Double click the employee's name.
  3. Go to the Payroll Info tab.
  4. Click the Sick/Vacation button in the upper-right hand part of the page.
  5. In the Sick section, select Every hour on paycheck for Accrual period.
  6. In the Hours Accrued per hour paid field, enter 0.03333.
  7. Enter the maximum amount of sick time allowed in the Maximum number of hours field.
  8. In the Begin accruing sick time on field enter the date you would like to start the accrue.
  9. Click OK twice to save the changes.

This setup is for 1 hour sick time accrued for every 30 hours worked. Do the same process for all affected employees.

I had an excel sheet i was manually tracking the sick leave.  how do i enter the hours i tracked on my sheet in quick books?  Or will it be retroactive from the data i entered under the sick/vacation tab today?

Here's how:

  1. Click Employees at the top menu bar and select Employee Center.

In QuickBooks you need to set up to accrue per hour because the program is not able to accrue across pay checks.  For example, if you had an employee work for 10 hours in one pay period and then 20 hours in the next pay period, QuickBooks would not be able to automatically accrue the 1 hour of sick time due to the employee. The best way is to have it accrue the equivalent amount (1 divided by 30 = .03333) per hour.

I set up accrual policy and added max number of hours. I noticed that it reached the max number it stops accruing but if an employee is using sick from accrued time it goes back to accruing until it reached the max again. It is crazy, I hope they will fix it. We are tracking manually

That's a problem. It's also a problem the the accrual is...

That's a problem. It's also a problem the the accrual is on all hours. So it accrues on non-worked hours like Holiday, Sick time, Vacation time. Those PR items should be able to be setup to be exempt from the accrual.

This works until the employee uses some of their hours of sick leave.  The law is for 24 hours a year.  Quickbooks begins accruing more hours until it hits 24 hours again even if its the same year.  How do I set up QB online to 24 hours of sick leave annually?

Hello, Nancy Grand Highland Hotel.

 

You can setup the frequency into at the beginning of the year then Hours earned per year is 24. Here's how  to set it up:

 

  1. Go to Payroll settings (Gear icon>Payroll settings). 
  2. Click Vacation/Sick/PTO link under Payroll and Services. 
  3. Click Create tab. 
  4. Frequency: At the beginning of the year
  5. Hours earned per year: 24
  6. Maximum available: 24

Once set up, assigned it to your employee through the following steps:

  1. Go to Workers and choose Employee. 
  2. Open the employee's profile and click the pencil icon next to Pay. 
  3. Click the pencil icon for Additional pay types: Sick Pay. 
  4. Checked Sick pay and choose the sick pay you've created. 
  5. Click Done.

Hi MikiD,

I tried your suggestion and I have QB online.  The only frequency options is within the pay schedule window and the only options are weekly, every other week, twice a month, and monthly.  

There is no option for hours earned per year.  

 

Any idea?

I found the right button for frequency.  I was in the wrong window.  

I am not sure if this will work with the earning of .3333/hr sick leave per hour worked schedule.

 

This is how we are instructed to set the sick leave up in AZ based on hours worked.  There is not an additional setting to set an annual maximum.  

Is there somewhere I can request this change to QB online?

You can check the setup again and enter 24 in the Maximum Allowed box.

Our sick leave policy is set up as you indicated.  Unfortunately, without an annual maximum, the sick leave continues to accrue after some of the hours have been used to a new 24 maximum.  

 

I think Quickbooks Online needs to add another field with annual maximum for QB to meet the state requirements. 

 

Here is the requirement by AZ law: 

Sick leave to accrue per hour worked: .3333 sick leave hours per hour worked

Maximum per year is 24 hours of sick leave  (it's per year not a max of 24 hours).

The Maximum available feature stops QuickBooks Online in accruing hours when the employee reaches the limit. Though, it's not set up as a per year feature. It will just stop when it reached 24 hours.

 

For now, you'll have to manually check the employees' accrual hours.

 

I suggest sending feedback to our product engineers so they can consider this layout for their future updates. Click the Gear icon, then choose Feedback

I’ve set it up this way but it accrues over the max in a year even if I filled in the max sick to be 24 a year. Is anyone else having this problem?

 I do payroll for approximately 30 companies. That is a lot of employees and a lot to have to track manually. I had set up an Excel sheet for every company and I have to manually write down every time someone takes sick pay. Do you have any better ideas of a quick way to keep track of accrued hours?

I'd like to share some more insights about tracking sick pay accruals in QuickBooks Online.

 

At this time, tracking down the employees' available accrual through a spreadsheet is the best way to handle the new Arizona sick leave rule. Rest assured, whenever updates will be implemented into our system, the accrual will automatically decrease if an employee takes a sick leave.

 

I'll also do my part and update you through this thread once our developers roll out an update about the new Arizona sick leave rule.
