How to enter historical payroll data ta was missed when we started QBO

Hello and welcome to the Community, @Lscog.

I've got just the information you'll need to get that historical payroll data entered. You can enter Prior Payroll information into QuickBooks Online (QBO) yourself as long as:

  • The information being entered is within the current calendar year.
  • You haven't created any current Paychecks using QBO yet.

The instructions below will help you accomplish this:

Entering Prior Payroll Data

  1. From QuickBooks Online, navigate to the Workers tab > Employees section.
  2. Click the name of the employee whose information you'll be adding. Click the tiny Pencil icon ✎ next to Pay.
  3. Towards the bottom, select Enter 2019 prior pay details.
  4. Follow the on-screen instructions from there to input the information.

We also offer a guide on prior payroll that's sure to be of assistance. By doing this, you'll ensure that all payroll information processed outside of or before QuickBooks is accounted for when filing/paying taxes and forms.

If you need to enter data prior to 2019, or you've already created paychecks in QBO and can no longer enter it manually, please reach out to our Support Team using the steps below:

Contacting the QuickBooks Support Team

  1. Navigate to the Intuit Contact Portal by clicking the link.
  2. Select QuickBooks Online from the menu.
  3. Choose the problem types from the selections below that correspond with your issue.
  4. Click Get Phone Number.

With your help, they can collect the historical payroll data that's missing and submit it to a corrections team to be amended in your Online file. Please don't hesitate to reach out to me here should you need any further assistance, I'm always happy to lend a hand. Thanks for bringing us your question and have a terrific rest of your day.
