Is there a way to save pay stubs as pdf instead of printing it out ?

I'm happy to share this information with you.

Saving paystubs as PDF can be done in just a few clicks. Let me guide you through the steps:
  1. Choose File > Print Forms > Pay Stubs.
  2. Select your payroll bank account and enter a date range that includes the pay date of the pay stub you want to print.
  3. If you want to filter by one employee, next to Employee select the drop-down menu to choose the employee.
  4. Select in the column beside the date and select the pay stub(s) you want to print.
  5. If you want, select Preview to view the pay stub before you print it.
  6. To select the company and employee information that will be printed on the paystub, select Preferences.
  7. If you would like to print a global message on each pay stub, enter text in the Company message to be printed on all pay stubs box.
  8. Select Print.
  9. Choose your PDF drive in the Printer name drop-down.
  10. Click Print.

You'll now have PDF copies of your employee's paystub.

Before even step 1 above download and install a pdf print...

Before even step 1 above download and install a pdf printer app such as cute pdf or bullzip (my choice to print pdf versions of paychecks and paystubs)

You are my hero right now. I could not get Adobe to show up as an option so I installed bullzip and it worked like a charm. Thank you!!!

Allow me to step in and help isolate the issue when sending employee pay stub by email in QuickBooks.

 

Since you're having problem emailing pay stubs, let's verify if you're on the latest version of Adobe. This allows the pay stubs to be converted into PDF format for viewing.

 

Here's how:

  1. On the internet browser address line, type www.adobe.com.
  2. Search for Updates.
  3. Find Adobe Reader 9.3 update or Adobe Acrobat 9.3 Professional update, depending on the version you have.
  4. Select the computer program language listed, such as Windows, or Macintosh.
  5. Complete the download.

If you need further assistance with the steps, I recommend contacting our QuickBooks Desktop Support Team. They have additional tools to pull up your account and do a remote session.

 

Here's how you can contact our customer support:

  1. Select QuickBooks Desktop Help from the Help menu.
  2. You can also press F1 on your keyboard to bring up the same Help Panel
  3. In order to route you to the correct support expert, we need to know what type of question you have.
  4. Click Continue.
  5. We’ll provide you a few options. You choose which one is best for you.

Good to see you in the Community. 

 

To make sure I'm on the same page, are you trying to print or email paystubs in QuickBooks Online? If so, I'd be happy to show you how to do that in QuickBooks Online. 

 

Here's how to print paystubs:

  1. Click Workers from the navigation panel.
  2. Go to the Employees tab.
  3. Click Paycheck list link below the Run payroll button.
  4. Select the date. 
  5. Click the box next to the employee name in order to select the paystubs to print.
  6. Click Print.
  7. Once routed to the PDF window, click the Print icon. 

If you're trying to email paystubs, you can either manually save them as PDF, then send them to your employee outside QuickBooks or grant your employees access to their pay stubs online through QuickBooks Workforce

 

To email them manually, you need to follow the steps 1-6 provided above, then on the PDF window, click the Download icon to save the paystub.

If you wish to use the QuickBooks Workforce feature, you can send them an email with detailed instructions on how to sign up on the website. Please let them know that they'll need to enter their SSN and the Net Pay of their last paycheck in the sign-up process.

 

Once the employees can log in to https://workforce.intuit.com, pay stub emails are automatically sent to them after you submit the payroll.

Hi there, Faith1999. I'm here to show you where the pay stubs is.

 

If you're using QuickBooks Dekstop, here's how you can locate the pay stubs:

  1. Go to File menu at the top.
  2. Select Print Forms.
  3. Click Pay Stubs.
  4. Select the Bank Account and set the checks date.

However, if you're using QuickBooks Online, here's how you can locate the pay stubs:

  1. Click Workers in the left navigation menu.
  2. Go to the Employees tab.
  3. Click the Paycheck list link at the upper right hand.
  4. Set the date.

That's it! You'd now able to locate the pay stubs Faith1999.
