I would like to remove the additional states that appear on employees w2

Some of our employees live in a different state than our business. When setting up the company in Quickbooks, it forced me to setup those states as well.  I went ahead used dummy account numbers for that states Tax ID and UI. When I generate the w2 for the employees, this state is listed below the state where taxes are being withheld.

 

Is there anyway to manually remove that line item in box 15. I don't want to submit something that has a state we don't operate in and a dummy account number.

Nice to see you in the Community, @hhss. I'm here to lend a helping hand.

 

QuickBooks automatically fills in this box based on an employee’s taxable wages calculated in the individual states by entering a separate line for each state. If an employee had tax withheld for more than two states, multiple-page W-2s will be produced. Here's how you can verify the information in Box 15:

  1. Review the Payroll Item Setup.
  2. Select Employees Manage Payroll Items View/Edit Payroll Item List.
  3. Open the Payroll Item and click Next to review the ID number.

The employees did not have any tax withheld in the state. It shows as a second line item in box 15, with state wages, tips, etc repeated from the line above.

 

This is also causing an issue because now it is overstating the state wages, tips, etc in box 16 on form w3. This number should match the federal wages, tips, other in box 1, but is double counting the entirety of the employees wages in box 16.
