If I use the Employee Cash advance deduction on their paychecks to deduct the advance then where should I expense the check written for the advance?

If I use the "employee Cash Advances" it does not seem to reduce that asset account when the amount is paid back.

Thanks for joining our forums. I can share some information about recording your Cash Repayments in QuickBooks Online.

 

You're on the right track with setting up a cash advance repayment deduction. You only need a few more steps to account the repayment correctly into the asset account.

 

I've tried setting up the deduction and it reduces the Employee Cash Advances account. Let's review the posting of your cash advance repayment item in your Payroll Settings, to make sure the outstanding balance is correct.Here's how:

  1. Tap the Gear icon.
  2. Choose Payroll Settings.
  3. Under Preferences, click Accounting.
  4. From the Other Liability & Asset Accounts section, locate the cash advance item.
  5. Click the drop-down and select the Employee Cash Advances account.
  6. Hit OK.
