I am not sure there is such feature yet in QBO. You may record the historical of payroll data as JE.

I was afraid of that.

I've not been able to create a journal entry, whose data will appear on payroll summary report.   Any tips for doing that?

Thanks for getting back to us, @bkpr2-aplus.

 

Creating a Journal Entry will not show up in your Payroll Summary report but it will show on other reports.

 

However, if you would like to have them show on your payroll summary you can recreate their paychecks. Here's how: 

  1. Sign in to QuickBooks Online.
  2. Go to Workers and select Employees.
  3. Select Run Payroll.
  4. Click Preview payroll.
  5. Choose Preview payroll details or Submit payroll.
  6. Hit Finish Payroll.

Once you've done, you can run a payroll summary report to view and see the details of your employees and what you've paid of.

Will this initiate a payroll payment?  Or an item on the payroll 'To Do List'.

Hello there, bkpr2-aplus,

 

Recording historical payroll data with Journal Entry won't create payroll liabilities. There is a different mapping for payroll payments or items.

 

As what my colleague Joesem M mentioned, the data won't show up in your Payroll Summary report. You can pull up Journal reports to see the historical payroll data you've entered.

 

However, if you create them as entering paychecks, it will create liability items. Furthermore, if you're going to use QB Payroll, you have an option to enter prior payroll data. Check this article for the detailed steps: Set up a prior payroll.

Understood on creating paychecks to create a payroll liability.

I assume this would create a 'To-Do' item in the Workers>Overview page.  Is there a way to remove payroll 'To-Do' items that have already been taken care of.

I want to share some insights about To-Do List.  Items under to-do list are those payroll taxes liabilities that needed to be filed. Once those are filed or paid, they will be automatically removed from your to-do list. 

 

To isolate this case, let's perform some troubleshooting steps. 

 

Your browser downloads data to make it faster to load websites. But sometimes this information can become outdated and cause issues in QuickBooks Online. We can start by accessing your QBO account in a private browser. This mode doesn't save your browsing history, cookies, and site data. 

 

Here's are the shortcut keys:  

 

  • Ctrl + Shift + P (Internet Explorer or Firefox)
  • Command + Shift + N (Safari)
  • Ctrl+ Shift + N (Google Chrome)  

 

If it's working fine, it means that you need to clear the cache so the system can start fresh and boost the system performance.

 

If you still encounter the same issue, you can use other supported browsers. It could be that the one you're currently using has a temporary issue with QBO.

Thanks all for your input.

Now I know the limitations of the software.  Too bad you have to go through the hoops provided to enter prior payroll info.

Also, I figured out how to remove the ToDo payroll items.  It appears that although the tax payments were made, they were not assigned correctly in the books.  Under: Taxes>Payroll Taxes there's an option to enter Prior Tax History.

On to the next!
