Just switched from QuickBooks Desktop to Online and some employees are not listed

Hello, we recently transferred our data from QuickBooks Desktop 2021 to Online, and some of our employee information has not transferred over correctly. Only a few employees are listed under the employee list / org chart, but more than half are missing. However, when we view old paychecks under past transactions, the missing employee names appear as employees in those transactions. If we try to set up one of those employees again, their social security number reads already used as they are sort of set up in the system somewhere. We tried migrating our data over again but had the same result, with most of our employees not appearing.

Is there a place some employees could be hidden? We are actively viewing all employees but still cannot find where the others are, despite them still being recognized in past transactions as employees and unable to set them up again due to duplicate information.

There can be a chance that some employees are marked as inactive, which is why they aren’t showing up in your active employee list. You can follow the steps below to show inactive employees:

 

  1. In QuickBooks Online, navigate to the Payroll menu, then select the Employees tab.
  2. Choose the Active Employees dropdown and select Inactive Employees. 
  3. If employees are showing as inactive, make them active by selecting each employee. 
  4. Click the Actions button and select Change status.
  5. Change the status to Active and hit Save.

 

You can also utilize the advanced search tools within QBO to find specific employees using their Social Security Number or other unique identifiers. This can confirm whether their data exists within the system despite not showing on the employee list.

 

If there are none, start running a data integrity check by using the Rebuild Data tool in QuickBooks Desktop before you remigrate. This tool helps in fixing common data issues within your file.

I have the same problem. All employees are there except one and they’re active on my desktop version but not showing up online

Upon checking on our end, an investigation has been rolled out regarding missing employees when importing them from QuickBooks Desktop (QBDT) to QuickBooks Online (QBO). Rest assured that our Product Engineering team is working diligently to resolve this issue quickly.

Since you're one of the impacted users, it's best to contact our support team to ensure you'll be included in the list of affected users and receive regular status updates via email. You can follow the steps provided below to contact them:

1. Log into your QBO account.
2. At the right-upper screen of your QBO account, click Help (?).
3. Go to Search, then enter Contact Support.
4. Click on the Contact Support tab.
5. You have the option to either chat with an expert or receive a callback from them.

Please know that our QBO customer team support hours vary on your subscription. Here's a guide you can check:

  • QBO Simple Start, Plus, and Essentials support team are available Mondays to Fridays from 6 am to 6 pm and Saturdays from 6 am to 3 pm.
