I'd be happy to lend you a hand and help guide you on how to set up manual payroll in QuickBooks Desktop.

 

If you're trying to set up manual payroll without any payroll subscription, make sure that your computer is offline or is not connected to the internet. 

 

Then, proceed the following steps below to set up your company preferences for payroll:

  1. Click Edit at the top, and then select Preferences.
  2. On the left panel, select Payroll & Employees then go to the Company Preferences tab.
  3. In the QuickBooks Desktop Payroll Features section, select the Full Payroll radio button.
  4. Select OK

Once done, you can now create the manual payroll. Let me walk you through the steps:

  1. Click Help at the top, and then select QuickBooks Help (or press F1 on your keyboard).
  2. In the Search field, type manual payroll and press Enter on your keyboard.
  3. Select the topic Calculate payroll manually (without a subscription to QuickBooks Payroll).
  4. Under Set your company file to use the manual payroll calculations setting, click the manual payroll calculations link.
  5. Select Set my company file to use manual calculations link. When your company file is set up for manual payroll computation, QuickBooks inserts a zero amount for each payroll item associated with a tax.
  6. Close and reopen QuickBooks Desktop.

Where do I find Calculate payroll manually (without a subscription to QuickBooks Payroll)?

 

It doesn't show up in the Help section. Are you hiding it for some reason?

Manual Payroll

In Edit  -Preferences - Payroll & Employee - Company Preferences, the Entire top portion is greyed out so I can't toggle to "Full Payroll".  My computer is OFFLINE.  I am using QB Desktop 2021 in Canada.

There are some functional differences between QuickBooks Desktop products in Canada and the United States that impact how to handle manual payroll. I'd be happy to shed some light on this for you. 

 

The steps listed earlier in the thread pertain to the USA version of QuickBooks Desktop, which is why following them within your program doesn't work. To enter payroll information into QuickBooks Desktop Canada without a payroll subscription, the calculations are completed outside of the program, and then entered into QuickBooks. There's a great in-product article with more details to guide you through this process. Here's how you can access this article:

 

  • Select Help in the top menu and choose QuickBooks Desktop Help (or press F1 as a shortcut).
  • Click the Help tab.
  • Choose Search.
  • Enter keywords such as "manual payroll" into the search bar and hit enter.
  • Click the article Process payroll manually (without a subscription to QuickBooks Desktop Payroll).

 

I can see how having the ability to manually process payroll within the program would be of benefit to you. You can submit Feedback about this to our product development team so that they can take it into consideration for future product updates. To submit feedback within QuickBooks Desktop, select the Help menu, then select Send Feedback Online.

Hi @Lfinn,

 

I'll lend you a hand with your query about recording payroll manually in QuickBooks Desktop (QBDT).

 

As my peer @CaitlinOG stated above, you can either click on the Help menu, then select QuickBooks Help. Or you can press the F1 key to open the Help window directly.

 

You can then type in Process payroll manually in the search box. Refer to the screenshot below:

 

 

Click on the first article that you see, which has the steps you can do to record your payroll manually in QBDT. Take a look at this screenshot:

Are getting a blank screen or page simply does not open? I'll share some of the troubleshooting steps that can resolve unexpected results when performing a task in QuickBoks Desktop. 

 

Let's start by making sure you have the latest maintenance release. Here's how:

 

  1. Go to the Help menu and select Update QuickBooks.
  2. Proceed to the Update Now tab.
  3. Check the box for Reset Update, then click Get Updates
  4. Restart your computer after getting a prompt that the update is complete.
  5. Re-open QuickBooks and install the update when prompted.

 

Once done, go back to the Help menu and check if a new window will open up after clicking QuickBooks Desktop Help.

We're thinking about getting QB Desktop 2021 without a subscription.  Will we be able to run manual payroll with this version?

Running manual payroll to QuickBooks Desktop without subscription is possible, @STSvc.


You can still run manual payroll in QuickBooks Desktop even without a subscription. However, you’ll need to calculate payroll taxes manually. 


I have a reference here to learn how QuickBooks calculates taxes. This provides complete instruction and depth information to ensure amounts are calculated accordingly. It also includes several resources that can help fix incorrect wages, taxes, and state unemployment (SUI) or withholding (SIT).


In addition, here's a handy guide for setting up your payroll. You can select each to view the details.

Manual Payroll

We've sold our company effective July 1.  For one month I do not want to upgrade to another version at $399.  For one month I will need to continue payroll manually.  Quickbooks will not let me revert back to manual.

I know every penny is essential when running a business. Let me share the steps on how to enable the manual payroll feature.


Before turning on this feature, update QuickBooks to the latest release. Doing so ensures you get the latest fixes and improvements.

 

Also, you’ll have to calculate and enter payroll taxes yourself. When you're ready, set up your company preferences for payroll.

 

  1. Tap the Edit menu at the top to select Preferences.
  2. Press the Payroll & Employees menu on the left panel and choose the Company Preferences tab.
  3. In the QuickBooks Desktop Payroll Features section, tick the radio buttons for Full Payroll and Manual Payroll.
  4. In the Get payday peace of mind window, click Next and then Activate in the confirmation screen.
  5. Click OK to apply the changes.
  6. Hit OK to close the Preferences window.

Under the Full Payroll, Manual is grayed out.  I cannot proceed from there.

Thank you for sharing the results after following the steps shared by my colleague above. In QuickBooks Desktop, the option to turn on manual payroll is grayed out only if you have an active payroll account or subscription.

 

That said, I'd recommend contacting our Customer Care Support. With their tools, one of our specialists can pull up your account on file and remove your active payroll account so you can turn on and calculate your payroll and taxes manually.

 

To do so, you can contact our online support by following the steps below:

 

  1. Go to Help.
  2. Select QuickBooks Desktop Help.
  3. Click Contact Us.
  4. Under What can we help you with, select Search something else.
  5. On the Tell us more about your question field, enter Manual Payroll is Grayed Out.
  6. Select Search.
  7. Click Message an Agent.

Thank you.  I've been trying for three days to contact Quickbooks and make sure my payroll subscription is cancelled.  If you have a direct number it would be greatly appreciated.  This is another reason I do not feel upgrading to a newer version of Quickbooks is cost effective.  I've yet to have them return my call or yet to be able to reach anyone directly.

You're already on the right track in contacting our QuickBooks Desktop (QBDT) Customer Care team, @CCPhiri10

 

When contacting our support, you'll have to turn on your internet connection. This way, you're able to access the link that routes you to our online care team. Regardless of the contact option (chat or callback) you choose, make sure you enter all the necessary information (i.e., name, email address, and/or phone number) to successfully execute the process.
