New accountant asking for Direct Deposit PIN

We are passing off a client to their new accountant. The new accountant has asked us to send him the direct deposit PIN that we used for the client. Is this something they really need? We've never had to send it to any other accountants when clients have gone elsewhere, and we've never needed to request a PIN from our new client's former accountants. He asked us to remove the client from our payroll subscription which we did. I don't want to withhold information if he does really need it to continue submitting the direct deposits, but it's not something we've had to do before. Any insight would be helpful. Thank you!

New accountant asking for Direct Deposit PIN

Welcome back to the Community space, @Kait1

It's understandable to have questions about sharing sensitive information like a Direct Deposit PIN, especially during client transitions. Here's some insight into your situation.

Do they really need the Direct Deposit PIN?

  • The Direct Deposit PIN is used to process direct deposits through QuickBooks Payroll. It's a security feature to help ensure that only authorized users can issue payroll direct deposits.
  • If the new accountant takes over payroll responsibilities, they might need the PIN to access and manage direct deposits for the client. However, sharing sensitive information such as a Direct Deposit PIN should be handled cautiously.

Best Practices for Sharing the Direct Deposit PIN:

    • It's essential to confirm the requirement directly with the new accountant. Ask them to clarify why they need the PIN and ensure it's part of standard practices for managing payroll.
    • Since this pertains to your client's finances, it's best to seek your client's consent before providing such sensitive information. This helps maintain client privacy and transparency.
    • If it's determined that sharing the PIN is necessary, transfer the information securely. Avoid sending it via unsecured email. Instead, consider using a secure document-sharing platform or discussing it over a secured call.
