Paycheck statements emailed to employees

To enable paycheck statements to be emailed to employees in QuickBooks, start by ensuring that direct deposit is set up and that employees are invited to QuickBooks Workforce. This feature allows employees to access their paycheck details online.

 

To do this, go to Employees, select Manage Payroll Cloud Services, and invite your employees. They will receive instructions to log in and view their pay stubs. If Workforce isn’t an option, you can email pay stubs manually.

 

After processing payroll, go to Employees, choose Payroll Center, and then Pay Employees. Select Print Pay Stubs, choose the pay period and employees, save the pay stubs as PDFs, and send them securely via email. Make sure to password-protect the documents to keep sensitive information secure.

 

For QuickBooks Online Payroll, you can enable notifications to automatically inform employees when their paychecks are processed. To do this, go to Payroll Settings and check the notification preferences.

 

If emailing directly through QuickBooks isn’t feasible, you can explore third-party integrations like Right Networks or other payroll tools that automate pay stub distribution. You can find more on their website page here.

By inviting your employees to QuickBooks Workfoce you're enabling emails be sent to them with their weekly paycheck details. I'm here to help you complete this process so your team can start viewing their payroll information online.

 

With QuickBooks Workforce, your employees will have the ability to view and print their paystubs and W-2s online. If you’ve already set them up in your QuickBooks Online Payroll (QBOP) account, you can easily send them an invitation through the Permissions tab in their profile. Here’s a step-by-step guide to walk you through the procedure:

 

  1. Go to Payroll and select Employees.
  2. Select the employee to be invited.
  3. In the profile section, click the Permissions tab.
  4. Choose Send Invite80.png
  5. Enter the employee's email address.
  6. Hit Send Invite. Your employee will receive an email with a link to set up QuickBooks Workforce. 81.png

 

If you have a new employee, be sure to enter their email address when adding them to your payroll. This will ensure they receive a notification with everything they need to set up their Workforce account smoothly.
