Payroll Error

We are getting a prompt saying that someone is currently in Payroll when someone else is trying to access it however, that person is not in payroll and has closed out all windows related to payroll. In order to fix the problem. the person that it says is in payroll has to close out and go back in. Can anyone tell me why or how to fix this? Thank you

Hi Amy,

 

This happens when the profile of the other user is damaged. You can remove and add them back to start with a fresh profile. I'll walk you through the steps.

  1. From the Company menu, select Set Up Users and Password.
  2. Choose Set Up Users.
  3. Enter your password and click OK.
  4. Highlight the user.
  5. Choose Remove

You can access the payroll section after adding the other user back. You can also turn on the automatic update feature in QuickBooks to minimize or prevent from getting errors due to some external factors.

 

If you still notice unusual behaviors in QuickBooks like this, please let me know.

Hi JessT,

 

Is there a way to tell whose profile is damaged or would we need to replace all of the profiles?

 

If someone is getting the error does that mean the person who is trying to view is damaged or the person that was in payroll is damaged?

We're currently unable to identify a damaged user profile. To verify which user is using a corrupted login, they must access the company file one at a time.

 

Before doing so, there are a few steps we can try to resolve unexpected errors in QuickBooks Desktop.

 

Use the Task Manager to end background processes for QuickBooks. Here's how:

 

  1. Press Ctrl + Alt Delete in your keyboard.
  2. Select the Task Manager.
  3. Click Processes, then select all QuickBooks that is running and click End task.

You can also run the reboot.bat file to resolve other issues in the program. Follow the steps below:

 

  1. Go to the folder containing the reboot.bat file:
  2. Right-click the QuickBooks Desktop icon on your desktop.
  3. Click Properties.
  4. Click Open file location.
  5. Right-click the reboot.bat file & select Run as Administrator.

Once done, please log back into your QuickBooks and enter your credentials, check if you're still getting the prompt.

Once you identified the damage login, remove and re-add them. Refer to the steps provided by @JessT.

Hi @amy60,

 

Yes, you have to be the admin to perform the steps provide by my colleague, @charlene. Also, it is applicable to QuickBooks software located on a network.

 

After performing the steps above, let's close and open QuickBooks to ensure error is resolved. here's how:

  1. Go to the Windows menu.
  2. Choose Close All.
  3. Click the File menu.
  4. Select Exit.
