I appreciate that you already know the steps to further resolve issues like this, @Mentor98.

Usually, payroll liabilities results are the total of its sub-accounts balances. If this exceeds, you can normally run verify and rebuild tools to fix calculation issues.

In your case, it persists, I recommend contacting our Care Support team to investigate it further. They have tools to check your account and see what's causing this behavior in QuickBooks Desktop while running the Payroll Liability Balances.

Here's how:

  1. Go to the Help icon and select QuickBooks Desktop Help.
  2. You can also press F1 on your keyboard to bring up the same Help Panel.
  3. Click Contact Us.
  4. Give a brief description of your issue like Payroll Liability Balances calculation exceeds the total each sub-accounts, then select Continue.
  5. Choose to Start a chat or Get a call.

To ensure that we address your concern on time, you can check our support hours.

Also, you can browse our Reports and accounting page it provides articles in managing your account and help you with future task in QuickBooks.

Let me know if you need further assistance while working on QuickBooks quick reports and accounting balances. I’m more than happy to help you. Have a great day ahead.

Payroll liabilities account balance in chart of accounts exceeds sum of subaccount balances

A parent account's balance will only equal the sum of the sub-account balances if the parent account is never used (or the sum of the transactions that use the parent account add up to 0.00.)

If you run Verify (from the File | Utilities menu) and the results don't list any account balance errors, then there's no technical problem with the account balances, and that means the parent account is being used as well as the sub-accounts.

RE: Usually, payroll liabilities results are the total of its sub-accounts balances.

Huh? Why would that be? I've never heard such an assertion before and it's certainly not true for my clients.

Thanks to everyone for the input. I have resolved this issue:

Some payroll liabilities had been posted to the parent account when they should have been posted elsewhere. Proper posting of these liabilities resulted in the parent account balancing with the totals of the subaccounts.
