Payroll Liabilities

Hello,

 

I just started a new bookkeeping position.  I have been processing payroll and paying the payroll liabilities through QB just fine.

 

When I go back to January (before I started), we are carrying a negative payroll liabilities balance of $1280.82.

 

I had the company give me their canceled checks and I can not find where this balance comes from.

 

Is there a quick way I can adjust or remove it from quickbooks?  I am pretty certain our numbers are correct.

 

Just not sure where these balances came from.

 

Please help.

Payroll Liabilities

Hello, @NCCC2021.

 

I'm here to ensure your negative amount in your payroll liabilities will correct in QuickBooks Desktop (QBDT) immediately. 

 

Yes, there's by using our Payroll Checkup. This feature help finds where the balance comes from that affects your liabilities. There's a possibility that the negative amount is caused to the canceled checks. 

 

But before that, please create and save a backup of your data file. Once done, you can now follow the steps below.

 

  1. Choose Employees then click My Payroll Service
  2. Tap Run Payroll Checkup.
  3. Follow the online instructions and hit Continue to go through the various steps.

Also, run a Payroll Summary report for the quarter you need to adjust. After that, you can now adjust your liabilities by following the actions below. 

 

  1. Go to the Employees menu, then choose Payroll Taxes and Liabilities. Select Adjust Payroll Liabilities.
  2. Choose Company Adjustment to remove the balance in your Payroll Liabilities Balances Report. 
  3. Complete the Item NameAmountWage Base, and Income Subject to Tax field. 
  4. Pick Accounts Affected, then hit OK

 

Once done, I'd suggest re-running the Payroll Summary Report to make sure everything looks accurate.
