Payroll - new employee profile

I need help on changing an employee's email address to a new email address in payroll.

The new set up does not allow to "revoke" under an active email.  There is a green box that has options to delete from workforce or delete ee entirely (scary).  

 

What is the correct way to do this once an employee is listed as "active" under Workforce using this new set up?

I'd like to help with your question about editing an employee's email in WorkForce, R K.

 

You can let the employee log in to their QuickBooks Workforce account and update it from there. Here's how:

 

  1. Go to the Gear icon and select Account Settings.
  2. Click the edit icon beside Email Address.
  3. Enter your new email address and verify your current password.
  4. Click Save. A confirmation will be sent to the new email address.

 

If they no longer have access to the original email address, you can send an Email Change Request by following these steps:

 

  1. Fill out this form: Email Change Request.
  2. Be sure all details match the information in the account, then click Submit.
  3. They'll receive a confirmation email, then sign in again.

 

Aside from that, you or the employee can reach out to our QuickBooks WorkForce Support Team about this. They can pull up the account and check for more options to make sure the email address is updated. Payroll - new employee profile

Another question...  so once an employee is "active" on workforce then it is up to the employee to change their profile on the Quickbooks workforce.    If an employee is terminated and their company email is no longer active they can still access their information in workforce using their email/password on file originally.  Once they are logged in then that is were they can make the changes to their User ID and/or email. Is my understanding correct?

 

Would it be best that the employer at termination advise the employee that they should log into workforce after their last check using their current info and then change their user id and email to their preference?  The employer would then leave the employee's email unchanged in QBO since it was what was active at the time of termination.

 

What does - the green action box do?  It says to remove from workforce or delete.

Let me further assist you with QuickBooks Workforce.

 

You're right! Once they have an active QuickBooks Workforce account, they can change their email address or password. They simply need to log in and update it on the settings section. This only changes their login credentials and won't affect the email address you have on file.

 

Also, yes, you'll want to advise your employee to change their login credentials from work to personal email addresses. It's advisable to use a personal email address for QuickBooks Workforce.

 

The Revoke Access button is a new feature that allows employers to stop their employees from accessing their QuickBooks Workforce account. Once you revoked their access, they'll be prompted to this message: "We can't sign you in. Your employer has adjusted your access to Workforce. You'll need to reach out to them to regain access." 

 

You can still re-invite them by clicking Resend Invite link. Then, the employee will receive a new invitation email and will follow the same steps to log in as they were logging in for the first time.

 

You'll want to provide these articles to your employees. These will help them understand more on how to use the QuickBooks Workforce:
