 How do I setup a monthly payroll schedule with a check date the last Friday of each month?

Welcome to the Community. It would be my pleasure to help you set up a monthly payroll schedule in QuickBooks Desktop.


When creating a monthly payroll schedule, you can only choose a specific date of the month for your employees. Right now, choosing last Friday as an option each month is not yet available.


If you want to check the available option you have, here are the steps:


  1. Click the Employees tab at the top menu.
  2. Select Payroll Center.
  3. Go to the Pay Employees tab.
  4. Click the drop-down arrow next to Payroll Schedules.
  5. Select New or Edit Schedule.
  6. Next to What date should appear on paychecks for this pay period?, choose a date.

The Payroll Schedule is a  Helper function. If that doesn't meet your needs, don't use it. The Schedule is how you teach the program Pay Period dates that are included on a Pay Date = two handholding functions that are supposed to help you.


The other function to use instead is Frequency. You Edit Employee Default and each existing Employee Name and assign that you pay Monthly, so that the program can compute against the tax table and against 12 Checks annually.
