Principal officer - no SSN - how to validate in QBOL

The principal officer used during the verification process in Payroll in order to setup the direct deposit has no SSN (foreign citizen not living in the U.S.). What is the process to pass the verification? The principal officer is not an employee. The principal officer for the US based bank account is the same person. When the account was set up the bank required various information in lieu of an SSN (e.g. copies of DL and passport).

Principal officer - no SSN - how to validate in QBOL

Hi there, @WSpit99. I've got some information you need in order to pay your employees.

Principal officer verification for Payroll with no SSN is not applicable in QuickBooks Online. As a workaround, you can pay your employees in advance by creating a check instead of paying them through direct deposit.

Here's how:

  1. Go to the + New button and choose Check.
  2. Set the employee you are paying under the Payee drop-down.
  3. Select the Bank Account you use for your payroll expenses.
  4. Enter the amount of the cash advance and the right category.
  5. You can print the check or click Save and Close.

After creating a check, you can print it directly in QuickBooks Online.

If you'd like to deduct that payroll cash advance to your employee's next paycheck, then you can check out this article: Set up a cash advance repayment deduction.

Know that I'll be here if you have additional questions when paying your employees. Stay safe!

Principal officer - no SSN - how to validate in QBOL

Thanks. I think you mean "not available" vs "not applicable" because the use case is definitely applicable. I spoke with support and this feature may be added in the future to match what is available in QB Desktop, but I shouldn't count on it anytime soon (asked me to complete Feedback feature). A bit backwards to start mailing checks out to employees! I was told the only workaround is to put in someone that has an SSN, even if they are not the Principal Officer. That's the only solution for now.
