printing federal form 941

I need to create and print form 941 for the first quarter of 2018. QuickBooks will not allow me to create this form because I upgraded to 2019. How can I do this?

Let's go ahead and make sure that your payroll gets updated. Here's how:

  1. Go to the Employees menu, then select Get Payroll Updates.
  2. Put a check in the Download Entire Update checkbox.
  3. Select Download Latest Update.
  4. A window appears when the download is complete.

Once done, try to print the tax forms again. 

  1. Find Employees, then Payroll Tax Forms & W-2s, then Process Payroll Forms.
  2. In the Payroll Center, select File Forms tab.
  3. Select the form you need to file from the list.
  4. Select File Form.
  5. Select the form filing period and click OK.
  6. Review the forms and select Check For Errors. If needed, correct any errors.
  7. Select Submit Form button.
  8. Select E-File button and follow the on screen instructions to submit the form.

I tried to do what you suggested and an error comes up on the form that tells me that QuickBooks only stores one version of the 941 tax form and that I cannot print last years version of the form. So even when I put in that I want to print the first quarter of 2018, the form that comes up is the first quarter of 2019.

Hi, JKeessen.

The current quarter and year are the only available version of payroll tax forms in QuickBooks Desktop. If you need to file an outdated 941, you’ll need to get the form directly from the IRS. Then you can run a payroll report for the first quarter of 2018 to get the right information. Manually enter the information in the 941 form then send it manually to IRS.
