Printing W-2 forms on 4 part perforated paper

I am trying to print my W2's on 4 part perforated paper but the individual copies aren't the same size as the 4 part paper - the PDF sections are smaller than the perforated sections.  I purchased the forms from QuickBooks so assumed they would work.  I changed the print setting in the payroll settings to print on 4 part paper but they still do not align correctly.  Is there anyway to fix this?

Printing W-2 forms on 4 part perforated paper

Hi there, DI56.

Thank you and welcome to QuickBooks Community. I appreciate you for providing the troubleshooting steps you've done to resolve the issue about printing W2's on 4 part perforated paper that does not align correctly.

Since the issue persists, I recommend making sure that you're accessing your QuickBooks account through Chrome. This is the best compatible browser for the software so you're unable to avoid any issue in printing W-2 forms.

If the problem continues to occur, this could be a result of a browser issue. there are times that the browser keeps outdated Internet files and needs to be cleared. This is done once in a while because it can cause websites to receive unusual behavior.

I suggest logging in to your QuickBooks account using a private browser. This way, you're able to verify if the issue is caused by a full cache. This might be also the reason that Printing W-2 forms are not aligned accurately.

Use these keyboard shortcuts based on the browser you're using.

  • For Firefox or Microsoft Edge, press Ctrl + Shift + P.
  • For Chrome, press Ctrl + Shift + N.
  • For Safari, hold down Command + Shift + N.

If it works in incognito, I recommend clearing the cache of your regular browser. This removes the history or log of sites so you can start with a clean slate. You can check this article to see the steps: Clear cache and cookies to fix issues when using QuickBooks Online.

If the steps above didn't work, use another supported browser as an alternative.
