I'd be happy to share some information regarding the W-2 forms on the Workforce platform. I'll also give the steps on how your employee can get their form.
Yes, Workforce only keeps a year of W-2 forms for your employee. As soon as the new W-2 form becomes available, the old one will be replaced.
As a workaround, you'll want to provide the last year's W-2 form to your employee instead. Here's how:
- Click on the Employees menu.
- Select Payroll Tax Forms & W-2s, then click Process Payroll Forms.
- Under Filing History, find the prior year's W-2.
- To access and print your W-2 information, click on the link under the Saved PDF column.
The W-2 form will be available as soon as it is submitted and filed. Although, processing times can affect this. The system ensures that the form can be accessed by January 31 (latest date).
If the delay takes too long, I recommend contacting our payroll support. They can investigate why there's a delay and ensure those W-2 forms will become available in Workforce.
Here's how:
- On QuickBooks Desktop, hit the F1 key to bring up the Help menu.
- At the bottom of the window, click the Contact us link.
- On the in-program webpage, choose a topic or type something like "W-2 doesn't appear in Workforce."
- Hit Search, then scroll down.
- Choose how you want to reach us.
While waiting for the forms to become available, you can manually provide it your employee. Follow the same steps above.
