2018 payroll tax forms

Where are my 2018 federal tax forms 940 and 943?  Only the 2017 forms are showing up and the new ones aren't downloading, despite the fact that I just paid several hundred dollars to renew my subscription.  I want to do these forms early.

Thank you for joining the Community. I'd be glad to assist you with being able to create the 2018 payroll tax forms. 


To start, let's make sure the tax table is updated to the latest release. QuickBooks Desktop Payroll updates provide the most current and accurate details like for payroll tax forms.


After running the tool, let's try to create the tax forms to see if it's for 2018. 


Here's how:

  1. From the Employees menu, select Payroll Forms & W-2s then Process Payroll Forms.
  2. In the File Forms section, select a form to process, and click Create Form.
  3. Under SELECT FILLING PERIOD, make sure the Year is for 2018 or the Quarter is the Last Calendar Quarter and Quarter Ending dates is 12/31/2018.
  4. Click OK.
  5. Complete the interview and click Next to proceed to your form.
  6. If the forms show 2018, then review all the information on your form to make sure it is complete and accurate.

  1. Go to
  2. Select your Payroll Subscription type.
  3. Click Payroll.
  4. Click on the View Contact Info button to get their contact number.

2018 payroll tax forms

Thank you MaryGrace!  I have followed all those steps, and every time when the tax form comes up it's still for 2017.   Here's the message on my form 940:  " You cannot file this return.  Form 940 is for the current tax year.  Quickbooks only stores one version of the Federal 940 tax form."  The return that this message says I can't file is the return for 2018.  Only the 2017 is there.  My understanding is that the annual tax forms, which are supposed to come out in mid-December, have somehow been delayed.  But  I can't find any confirmation of that delay, or whether the delay is now over and the forms are here but I'm just not getting them for some reason. I've updated many times hoping that the form will suddenly be there, but it hasn't worked so far.   So my question is really, are the forms for 2018 here yet, or not?  It would seem like common courtesy for Quickbooks to notify us if, due to their issues, our forms are coming late.

Thanks for responding to my question.  I've gone through all these steps multiple times but the 2018 forms are not showing up yet.  Specifically, form 940 and 943, which are federal payroll tax forms.  QB only stores one year's form and it's 2017, no matter how many times I enter 2018.  My understanding is that the 2018 tax forms are being delayed for some reason.  But how will I ever know if that's the reason or that somehow they're just not downloading for me?  Common courtesy requires that QB notify us when their issues and delays cause us problems.  But I don't believe they are going to do that.  So I was wondering, does anybody out there know?  And the bigger issue is, why does QB just brush off the question with the statement, "well, the forms aren't due till the end of January."  What if someone needs to go somewhere at the end of January and so wants to do the forms early, as they've always done in the past?

I'm going to join in this thread and help you, Imperry.


When you update the tax table, our software creates a paysub.ini file. Let's delete this and re-download the latest tax table update.


Here's how to delete the file:

  1. Click the Help menu, then go to Update QuickBooks Desktop.
  2. Go to the Options tab, then look for Download Location. These are the folders that you will open to find the paysub.ini file.
  3. Open the folders, then type paysub in the search field.
  4. Right-click on the file, then choose Delete. Delete all paysub.ini or paysub files found.
  5. Click OK.

You can now download the latest tax table update again.


After doing the steps, try to check the payroll tax forms.

Thank you, Kristine Mae.  I figured it must be something in the inner workings of QB which I didn't understand.  I will try to follow these instructions!
