How do I import payroll data from ADP into QuickBooks Online?

I would check with ADP on this question.  They would need to provide you with an importable file ( . qbo).   For most outside payroll services, the client generally has to make the entries via a journal entry.  Which is why I recommend using qbo payroll service.

Hi Kasey,

 

Just to add another option here if you are using ADP and QBO.

 

We have helped a number of ADP users to export journal entries of Wages, Entitlements Withholdings etc.. as an IIF file and then use our QuickBooks Online data import utility called Zed Axis (that you can find in the Intuit QuickBooks Apps Center) that can take an IIF file and import that directly into QuickBooks Online.

 

There is a bit of setup to make sure your GL account names match between ADP and QuickBooks Online but once aligned this solution can batch process large volumes of payroll data.

ADP has suggested i set up a Clearing Account in QBO. Once the ADP download brings in the payroll info. in this case the payroll checks written, how do the Clearing account transactions get cleared and reconciled?

I'll share some knowledge about managing clearing account (CA) in QuickBooks Online. 

 

Once the money sends out to your employee, you'll need to transfer the amount from the business account to the ADP clearing account to zero out. 

 

Here's how: 

 

  1. Go to the Plus icon, then choose Transfer
  2. In the Transfer Funds From the drop-down, choose the business account. 
  3. Choose CA in the Transfer Funds To field. 
  4. Enter the Transfer Amount in the area. 
  5. Tap Save and close

Gave a thumbs up by mistake.  Other payroll companies sync with QBO and QBO Payroll is not necessarily the best answer.  For sure.

ADP import to QuickBooks Online

i am able to import the file but only without matching up the employees to the transactions.  I have tried making the employees venders as well but nothing works.  I have far too many employees to have to edit the GJE everyweek to reflect the employee.  Anyone have any thoughts?

Hi there, Wendy. I appreciate you for providing details of your concern. I'm here to help you match your transactions. 

 

You'll want to review the Payroll Settings screen and check if you're using the correct bank account.

 

Here's how:

 

  1. Click the Gear icon and choose Payroll Settings.
  2. Select the Accounting link under Preferences.
  3. Verify if you're using the correct bank account (see the screenshot below).
  4. Update if needed.
  5. Click OK.

 

If you've selected a different bank account whem importing, you can set up a clearing account and transfer funds or create a journal entry.
