Why do I get this msg when I try to approve my contractors' time entry?

This is the msg I receive when I try to approve contractor time: "Can't export Cinnamon Pritchard's ([email address removed]) time, because the user's account isn't found in your QuickBooks Employee List."

I'm here to share details about tracking contractor's time in QuickBooks Online (QBO) and QuickBooks Time, @WCAWCP. This way, you can approve their time and manage their account accordingly.

 

When syncing your QBO data to QuickBooks Time (TSheets), you'll have to import your vendors as employees to track your contractor's time. Here's how: 

  1. Open TSheets in any web browser.
  2. Click the QuickBooks drop-down at the top right corner of the screen.
  3. Select Preferences.
  4. In the window that opens, under Other Options, make sure that Import Vendors as Employees is checked.
  5. Close the window.
  6. Click the QuickBooks drop-down again and select Import.
  7. Once the import is complete, click that QuickBooks drop-down one more time and View Sync Log to ensure there are no errors.

 

Once done, approve your contractor's time using  QuickBooks Time (TSheets) in QBO. You can refer to this article for the detailed steps: Approve hours using QuickBooks Time in QuickBooks Online.

That did not work. There is no option to import Vendors as employees. The only option is to approve vendors as team members. Help!

Good morning, @spbykatie! I appreciate you coming back with that error message. It helps us narrow down what the issue may be with this vendor.

 

I have a few things for you to check on your end, starting with QuickBooks Time.

  • Let's double-check that vendor name and make sure there aren't duplicate profiles in My Team.
  • Also, check-in your archived profiles by going to My Team and under View choose Archive.

Then, head into QuickBooks.

  • Check if that user has both a vendor profile and an employee profile. If they do:
    • Make sure the email address is only in one of the profiles OR
    • The emails need to be different in both profiles

After checking those things you can try to export the vendor's time again. If there's still the same error, I'd recommend reaching out to support since it's possible some swapping will need to be done in the back end to rectify the profile. You can call 888-836-2720 or Chat with us from within your QuickBooks Time account.
