We have an Intuit Hosting Program that lets store data files and runs QuickBooks on a service provider's servers, Sateesh.

Doing this allows end-users and access QuickBooks over the Internet on a virtual desktop securely. You can check out this link for more information: Authorized Hosting Service Providers.

Then, import your payroll data into QuickBooks using the Intuit Interchange Format (.IIF) file.

You can also subscribe to our QuickBooks Desktop Payroll Service. You have the option to choose from Basic, Enhanced or Assisted Payroll.

Once you've activated payroll, complete the Payroll Setup Interview. Just go to the Employees menu and choose Payroll Setup.

Let me share this article for further guidance: Payroll setup interview in Desktop.

Keep us posted if you have any questions about the process. We're always here to help.

Thanks for updating us, @satC. I'm here to help you out with your payroll question.

Here's the working link for an overview on Desktop Payroll: QuickBooks Desktop Payroll Service

In terms of exporting the QBO Payroll data to Desktop Payroll, the export process doesn't include payroll data when it's transferred to the file. Since every business is a little different and has its own requirements, I recommend checking out our Apps Marketplace to look for a third-party solution that may suit your needs.

If you have any other QuickBooks questions, feel free to reach out to me. Have a good one!

Hello there, @satC.

You can enter your historical payroll details into QuickBooks Desktop. This is to ensure that your year-to-date totals are accurate. This includes the tax payments and the paychecks.

Let's pull up the Payroll DetailsPayroll Tax and Wage Summary and the Tax Payments report in QuickBooks Online. These reports will serve as our guide so we can enter the correct information into QuickBooks Desktop.

For more indights, you can check this article:

Also, you'll want to pull up the other important reports and forms in QuickBooks Online before canceling your online payroll subscription. You can print or export them and save them in your local drive for your records. You can access your online payroll data only for six months after the end of the tax year in which that data was collected.

Hey there, @satC.

I'm happy to provide some advice on transferring your payroll data over to Desktop.

At this time, you can only import your employee lists using an IIF file. However, if you'd like to bring in all your payroll transactions, it can be entered manually to complete your year-to-date information.

Here's how to import your employee lists:

  1. Log into your company file as the Admin.
  2. You must be in Single User mode
  3. Go to the File tab.
  4. Select Utilities then click Import
  5. Choose IIF Files
  6. Locate the IIF file from your folder.
  7. Highlight the file then click Open
  8. Select OK on the prompt to confirm the import.

After importing your employee list, you can start entering your YTD information. You can check out these helpful articles on how to do this.

When you are transferring your data over from Online there are limitations you will need to be on the lookout for, payroll being one of them.

Importing your payroll information:

Paycheck and Liability Payments

  • Will export as regular checks.
  • The Pay Period and Liability Period don't export.
  • If a check number field is blank, QuickBooks Desktop assigns a number. This can lead to duplicate check numbers in your file.

If you need more assistance with this or have anymore questions, please feel free to reach back out. I'm always here to lend a helping hand. Have a great day and take care!
