I changed address of a deactive employee who moved from CA to SC. No QB keeps telling me to file SC withholding Tax Return. I need that removed.

I can help you with that, robert61.

We can simply archive that form to remove the form reminder from your Home page and keep an electronic copy for future reference. I'll show you how:

  1. Select Taxes from the sidebar menu.
  2. Go to the Payroll Tax tab.
  3. Select Quarterly Forms or Annual Forms, as appropriate.
  4. Choose the appropriate form.
  5. Select the liability period.
  6. Click the Archive button.

In case you want to track where your company stands in terms of employee expenses, we can run payroll reports to view useful information about your business and employees.

If I can be of any additional assistance, please don't hesitate to insert a comment below. Have a great rest of the day.

Thanks. That worked for one form but SC Quarterly Tax Return says:

Before printing Form SC Withholding Tax Return, you must specify the tax deposit schedule for SC Income Tax. Enter it here.

I just need qb to stop thinking I have SC employees. Seems like it is going to keep asking me to file forms now.

Hello there, robert61.

Task reminders will always show in QuickBooks Online (QBO) if you have transactions or activities that need your attention such as payroll tax forms. You'll want to pay and file them to remove the notification in QuickBooks Online. Let me walk you through how.

  1. Click on Dashboard at the left pane.
  2. Go to the Tasks section.
  3. Click the Show more hyperlink and click File now or Pay now.
  4. Continue clicking the notification.

I have included these help articles for your future reference.

Fill me in if you need further assistance. I'll always be around to help you anytime.

I don't need to file the return because I have never had any employees in South Carolina.

I don't need to file any taxes in South Carolina. QB is confused because I changed and DEACTIVE employees address to South Carolina because She moved and needs to get her W2.

Good day, robert61.

If you paid this employee for the year 2020 and the resident state that time was CA, then you don't have to change it. It'll be included in your payroll forms and the state should be CA.

You can enter dummy details so you can archive the SC Withholding Tax Return if you did not pay this employee for the year 2020.

  1. Go to the Gear icon and select Payroll Settings.
  2. Select State Taxes - SC and enter all details needed including the Deposit Schedule.
  3. Click OK to save it.

Then, follow again the steps shared by KlentB.

Please leave a comment again if you have more questions. Have a great day!

Nothing in Tax Setup allows me to add another state. And I don't need another state. Can't someone just fix the problem in Quickbooks?

Hi Robert,

I get your point that the employee just wanted to show their current home address on their W2. That way, mails don't get lost should IRS or SSA send them one.

On the payroll side, the calculation of withholding taxes is based on your employee's home address and work location. This varies between states, especially if there is a reciprocity agreement between them. Your accountant can explain this better.

In this case, I would recommend consulting a tax advisor or contact your state agency or SC's agency to know if you need to file a return to SC, provided that an SC address showing on the employee's W2. If you don't need to file a return, please contact our Support for the prompt.

You can reach them using these steps:

  1. Click on Help and choose Contact Us.
  2. Paste your question in the text box and click Let's talk.
  3. Choose between Message an agent or Get a callback. These options are available during their office hours.

If you have other questions with your taxes, please don't hesitate to go back to this thread.

Thanks.

I don't have to file anything with the state of South Carolina.

How do I get this reminder off and make sure I don't get more in the future for this employee?

Hello,

Do you currently need multi-state support?  If not, you could try turning that off.

In order to opt out, you'll need to do the following:

  • Inactivate all work locations in that state.
  • Set the tax status for all employees to "Do Not Withhold" for that state.
  • Confirm that you wish to disable Multistate Plus support for that state.

Thanks for the response, @robert61.

To remove the reminder and to change the employee's address back to California, I recommend reaching out to our Online Payroll Support for further assistance. Rest assured, they have the tools that can correct the employee's information as well as making sure your taxes will be correct. You can follow my colleague's @JessT post on how to get in touch with an agent.

Let me know how the conversation goes! I'll be here if you need anything else. Have a great day.
