Incorrect County is listed on W-4. No option to change!

My business is located in a zip code which includes 4 counties in Maryland. Only 2 of the counties are listed as options on the W-4. If I process payroll with the wrong county listed, I will be violating the law! In the last 2 days I have spent over 5 hours on the phone with tech support trying to get my company set up properly and they still can't figure it out! Is there anyone who is smarter than tech support to help me?

Hello, @jmcintosh.

Some states use the information from the IRS for the W-4 form while other states have a specific W-4 form to use. One of these is the State of Maryland. For your state, you need to use the Form MW 507, Employee's Maryland Withholding Exemption Certificate.

To learn more about the states W-4 forms, read this article: States withholding allowance certificates: W-4 and/or W-5 forms.

Also, to stay compliant with your state payroll tax regulations, visit this page: Maryland Payroll Tax Compliance.

I know what form to use for Maryland. But I just switched to Quickbooks Online and our zip code (21771) encompasses 4 counties but QBO only allows 2 to choose from in their drop down box. 21771 includes Carroll, Frederick, Howard, and Montgomery. QBO only allows a choice between Carroll and Frederick Counties. Our business is located in the Howard County and we have employees who also live in Howard County. The county tax rates are the same for Howard and Montgomery Counties, but Carroll and Frederick Counties each have different rates from the others.

I have included a link to prove the information I am providing. If more documentation is needed, there are plenty of other sites that will show the same information.

City: Mount Airy, MD (4.85%) Counties: Frederick County, MD (50.08%), Carroll County, MD (28.01%), Howard County, MD (18.21%), Montgomery County, MD (3.70%)

Good evening, @jmcintosh.

I'd recommend entering the ZIP Code Extension, for example, 21711-0000. If you don't know the extension, no worries. If you go to the USPS website, you can type in your address and see the full ZIP.

Let me know if this works for you! I'll keep an eye out for your response. Talk to you soon.

I had hoped adding the extension on the zip code would work also so I had tried that before my original post on this topic. Unfortunately it did not.

I finally got someone at Quickbooks to accept it as a tax compliance issue and they have started an investigation. Meanwhile, I will continue to use both QBO and QB Desktop in case I have to cancel my QBO subscription before my next payroll. I'm not going to be falsifying tax information just because Intuit can't get this right.
