If you're trying to pay your payroll taxes in QuickBooks Online (QBO), you need to enroll in e-services. This way, you can pay your taxes electronically. Once you’ve signed up for e-services, you can now proceed with paying it. Here's how:

 

  1. Click Taxes from the left menu, then select Payroll Tax.
  2. Select Pay Taxes.
  3. Choose Create payment on the tax you want to pay.
  4. Hit E-pay.
  5. Select Earliest for the recommended date to pay taxes, then click Approve.
  6. Click Done once an e-payment confirmation window appears.

 

After paying your taxes, you can now proceed with filing forms. Below are the detailed steps:

 

  1. Click Taxes from the left menu, then select Payroll Tax.
  2. Select Annual form and choose 940 form from the list.
  3. Review the form to verify the info.
  4. Hit Submit when you're ready.

Update:  I actually am setup for e-filing, and I've been using e-file and e-pay for years.  The reason QB Online was telling me I had no taxes due was because I'd already paid that exact amount the night before via e-file/pay.  I've confirmed that amount already cleared my bank account.  So that's a good thing.  If I look in the tab "View tax payments I've made," it even lists this payment as having been made on 1/27/21.  My new issue is that the front page of the payroll tax menu STILL shows that I owe that very same amount of $320.44 and now shows it's overdue.  How can I remove this notification??

I've checked our records and haven't seen any cases the same as yours, Cmanosod. You might be experiencing browser hiccups.

 

We'll perform some troubleshooting steps to remove the notification. I'm here to guide you.

 

Let's start with logging into your account through a private browser. It's the best place to identify web issues. These are the shortcut keys:

  • Google Chrome: press Ctrl + Shift + N 
  • Mozilla Firefox: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

If you're unable to see the paid tax, go back to your regular browser and clear its cache to refresh the program.

 

Also, you can use a different browser to narrow down the issue.

Thanks for the reply, Kristine.  It doesn't appear to be a browser issue or cache issue.  I cleared the cache a few days ago.  If I go incognito, it's the same.  If I go through Microsoft Edge, instead of Google Chrome like I usually do, I still get all the same info.  

 

I did notice this just now:  Literally 5 minutes ago I went into Tax Liability Report.  It showed my 2020 total liability for FUTA (Fed 940) as $640.88, showed a payment of $320.44, and showed a balance of $320.44.  That's the first time I've seen $640.88.  (Not sure how that is as I always e-file and electronically pay the required amount directly from quickbooks online.  I trust Quickbooks to keep track of the numbers and I click E-file and Make Payment when I'm prompted to do so) .  Regardless, If I go back into Pay Taxes, it shows FUTA $320.44 due 2/1/2021 with e-payment cutoff of 1/28/21 5:00 pacific time.  If I click on it to pay the tax, I get the response "We calculated the amount due for this period and found that you don't owe any taxes.  We adjusted your tax liability accordingly."  So I went BACK into the Tax Liability Report AGAIN and it now shows a total liability for LAST QUARTER OF 2020 FUTA of $356.68, a payment made of $320.44 and a balance due of $36.24!!!  I haven't done anything to modify/manipulate numbers.  This just doesn't made sense.  And I just reconfirmed that  the IRS withdrew the $320.44 from my checking account on 1/27/2021.  

 

Now if I go into View Tax Payments You Have Made, regardless of whether I specify Last Quarter (Oct-Dec) or Last Year (2020), it shows a Payment Date 1/27/2021 for Fed Unemployment 940 of 320.44.  When I click on the payment line to see the details it shows FUTA Employer with 0.00 amount due, an adjustment of 320.44 directly under that, and a payment of $320.44 printed in bold directly under that.  What in the holy heck is going on?

I recognize the convenience of paying payroll forms electronically. No worries, I'm here to go through some troubleshooting steps with you so we can remove it.


First off, I'd like to know if you have encountered any error messages during the process. You can also tell us the details of your concern by leaving a reply on this thread.


We'll begin by using a private browser to log in to your QBO account. Data isn't saved in the cache. Thus, it's a great way to isolate browser-related issues.

 

Here are the shortcut keys:

 

  • For Google Chrome, press Ctrl+ Shift + N.
  • For Mozilla Firefox and Microsoft Edge, press Ctrl + Shift + P.
  • For Safari, press Command + Shift + N.

 

Once done, you can try to check if the tax status is updated as paid. If it is, you'll need to clear your cache in your regular browser to get a fresh start. This way, it'll function efficiently.


If private browsing doesn't work, try one of the other supported browsers to get the most out of QBO. Through this, we can check if your regular browser is the issue.
