New 2020 W4 Onboarding

This question is for my payroll/HR peers.  What is the best way to handling onboarding new hires with regards to the new W4 2020.  Generally, I have my new hires completed their forms on their 1st day.

With the new W4, it appears they are going to need more time, and possible take it home.  You know when they take it home, they are going to "forget" to bring back and I'm going to have to chase the form down from them. 

How are you explaining the new form to them?

What if they don't return form in a timely manner?

Just curious how everyone is handling... :-)  Thank you

New 2020 W4 Onboarding

Hello there, PJ281,

 

Employees who have submitted Form W-4 in any year before 2020 are not required to submit a new form.

 

Furthermore, if you don't receive a completed W-4 from the employee, you'll want to withhold their tax as single with no withholding allowances as per IRS guidelines.

 

Here's how: 

  1. Go to Employees, and then Payroll setup.
  2. Select the name of the employee. 
  3. Select Payroll Info, and then select Taxes
  4. On the W-4 Form dropdown, select 2020 and Later
  5. Make sure your employee complies with the points on the Federal W-4 form popup, and then select OK. 
  6. Enter the employee's W-4 information into the form
  7. Select OK to save.
