It would be my pleasure to help you get the printing of the W-2 forms in alphabetical order..

 

Ideally, when printing the W-2 forms for employees, it should be in alphabetical order. Since it's not showing that way, we can try logging into your account using a different supported browser.

 

I need to check if the browser settings are causing the strange behavior to appear. In case the problem persists, I recommend you give us a call. Our Phone Support Team will need to check your account and perform additional troubleshooting to make the printing of the forms in order.

Why are my w2's not printing in alphabetical order this year?

I have been using QBO payroll since 2012.  The W2s have ALWAYS automatically printed in alphabetical order.  Every. Single. Year.   This is a HUGE problem.   I would ask for QBO Payroll software engineers to fix it IMMEDIATELY, but that will never happen.  I must print these tomorrow morning, so I'm pretty sure that a miracle will not be happening.  So, instead, I get to print up approx 295 W2s that I will then have to alphabetize myself before we distribute them.  Wow, what a great use of my time. (pure sarcasm)  Oh, and the extra bonus of wasting our valuable time, when I save the PDF of the hundreds of W2's, they will never be in alphabetical order.  So, in the future, when I have to re-print a W2 for an old employee, I get to slowly scroll through all of the W2s until I find the needle in the haystack.  

 

I see that QBO changed the format/layout of the W2s this year, so I am assuming that is where the problem came in.  Clearly, the software engineers missed a very important step when it came to proper sorting and generating of the data.  The QBO payroll software has always been bad, but now I will definitely put it in the "horrible" category.

I know how useful to have a function that allows you to print the W2s alphabetically,  Susie.

 

We have received reports regarding this issue and it is still being fixed by our engineers. I won't be able to provide a timeline of when this will be fixed, but I'd recommend contacting our QuickBooks Technical Support Team. They can add your profile the list of affected users and provide updates about the issue. 

 

I appreciate the feedback and your patience as they fix the issue on the product.

Hey QBO people!   Did this issue ever get resolved?  As I keep having to issue duplicate W2 forms to old employees who have moved, I am going insane while scrolling through the  archived 150+ W2 forms that are not in alphabetical order.  Why does the payroll software keep getting worse, not better?

QuickBooks is designed to pull up W2 for all copies and employees name randomly instead of alphabetical. Though it's good to have these forms in an alphabetical order, forms should still be accurate and this should not impact filing forms or distributing the forms to employees.

Thank you for your reply, even though it did not provide any helpful information.  Like I mentioned in an earlier post, I have been using QBO payroll since 2012 and the W2s have ALWAYS been generated in alphabetical order.  ALWAYS.  So, someone at Quickbooks has decided to changed the "design" from alphabetical to random. Simply put, that is incredibly stupid and not helpful to your customers.  And thanks for mentioning that forms are still accurate.  Whew.  Since you are functioning (barely) as a payroll company, if the forms were NOT accurate, there would be many more problems.   And for the record, it has caused problems with us distributing the W2s.  We attached a lot of them to current employee's paychecks and those paychecks are in alphabetically order, so it took us a LOT longer to sort and attach them.  Please make sure that we don't have to deal with this problem next year.

I want this to be taken care of.

 

The update started when the IRS required employee ID's to be included in W2's forms. Since QuickBooks Online always makes sure to meet the IRS guidelines, as an application to this standard, QuickBooks chooses to print invoices based on the sequence of the Employee ID number.

 

Though I appreciate you for bringing this to our attention and I want you to know that we take note of this.

 

The Community Team will be updating this thread once we receive progress and updates from our product developers.

WOW!!!!  I can not  believe how un-business friendly QuickBooks on-line is. In October 2022 I was tricked into switching from QBD to QBO, What a nightmare this transition has been. Just when you think everything is fixed something else pops up that is not working as it did in desktop. Something as simple as printing W-2s in alphabetical order by last name. I was ok with maybe another setting needed to be tweaked. However, I was sickened to be told by customer servicer there was no way to fix it; and I also went online only to find out this has been an issue for a many years. 

I will definitely NEVER recommend QBO for payroll.
