Reissuing a lost W2

An employee says he never received his 2018 W2.  I am trying to reissue it. I am using QB Desktop 2019 and Enhanced payroll. The directions on prior posts seem straight forward but after steps ...

Employees > PayrollCenter > File Forms, I have no View/Print forms & W-2s.  What am I doing wrong?  Federal Forms W-2/W-3 show up in my Filing History under E-Filing

You have to go through the interview process again and select only the employee to review and print. Print for your records is a small button lower right

Thank you, that works.  I  had read the the IRS requires "REISSUED STATEMENT" to be printed on duplicate W2's and that does not appear on the one.  I am hoping that because I only printed the replacement and didn't actually file a second time, that this will be fine.

Yes, that would be fine, Merit.

As what our Allstar john-pero mentioned, you'll have to reprint the form again and mail it to the IRS.

I can see that the step "View/Print forms & W-2s" is only available in the Assisted version.

This I doubt. Once an original W2 has been submitted to the IRS even changes in a W2C (corrected form) do NOT call for sending a copy of the replacement form to the IRS. There is a correction submission site run by irs.gov where all you submit is the changes, electronically even if you mailed in original paper forms.

As far as satisfying any requirement of including the label "replacement" , that is what pens are for.

Good afternoon, @gracie2

Thanks for joining this thread.

Before going into detail, I want to ask if you're unable to reprint your employees' W-2 form?

For now, you can print a replacement copy of employee W-2 forms from the Payroll Tax Center and provide a link to the filing instructions to meet the IRS requirements.

Here's how to print a replacement:

  1. Select Employees and then choose Payroll Center
  2. Click on the File Forms tab.
  3. Go to View/Print form & W-2s.
  4. Type in the Payroll PIN and then OK.
  5. Go to the W-2 page, and if you don't see a list of employees, choose View/Print W-2 forms for all year
  6. Select the employee's name to open the W-2 form you want to print.
  7. If prompted, choose View Reprints, and then click on Continue
  8. When Adobe Reader opens the W-2 form, print it on the correct perforated paper.

For more detailed instructions with replacing W-2 forms in QuickBooks Desktop, you can refer back to this article: How to reprint or replace employee W-2 forms.

Let me know if the info above did the trick. If you have any more questions, I'm only a few clicks away.

Where is the view/print option mentioned in line #3?

Thanks for joining us here today, @Mike2610.

I have some information about the view/print option. The instruction provided by my peer above is for QuickBooks Desktop Payroll Assisted customers. You can also check on the Create Form button to print the forms.

If you're printing previously filed forms, you can view them from the Save Filings or E-Filings tab. See the image below.

If you're still unable to see it, make sure to downloads the latest tax table to refresh your payroll subscription. Then, check the form again.

You can learn more about W-2s in this guide: Print your W-2 forms.

Additionally, here's a link that covers all the tasks you can do when using QuickBooks Payroll. Just look for responses that fit your concern.

Keep me posted if you have follow-up questions or concerns with payroll forms. I'll be around for you. Take care and have a great rest of the week.
