Hello there, oepham.
Let's figure out why the system is not accepting your employee's social security number (SSN). Then, ensure you can record their SSN successfully.
First, ensure the employee's SSN is correct and that they're not using their ITN number. Once verified, we should be able to enter their SSN. We can do it in a private browser to determine if this is browser related issue.
Let's use these keyboard shortcuts depending on your browser to launch a private window:
- Google Chrome: press Ctrl + Shift + N
- Mozilla Firefox: press Ctrl + Shift + P
- Safari: press Command + Shift + N
If it works, return to your regular browsing and clear the cache. Also, we can try using other supported browsers.
On the other hand, if your employee uses an ITN number, we can just put in a dummy SSN and proceed with the setup. Once they already have their SSN, we can edit their profile or information. Here's how:
- Go to the Payroll menu.
- Within the Employees tab, select the employee name.
- Click Edit under Personal info.
- Modify or enter the correct SSN.
- Click Save to reflect the changes.

Then, you can generate several payroll reports within your book. Feel free to check the list of reports according to your needs in this article: Run payroll reports in QuickBooks Online Payroll.
