QuickBooks Online Payroll allows you to override tax withholding, but it's important to determine the worker's legal classification before making any adjustments to ensure you remain compliant.

 

If the individual is a W-2 employee, you are legally required to withhold federal income tax, Social Security, and Medicare, regardless of their personal quarterly tax payments. Employees can't opt out of these withholdings and need to submit a new Form W-4 to adjust their withholding levels if they feel they are overpaying.

 

On the other hand, if the individual meets the IRS criteria for an independent contractor, they are solely responsible for their own tax obligations. In this case, ensure they are classified as a contractor in your system, as QuickBooks does not withhold taxes for 1099 payments.

 

I recommend consulting a tax or legal professional to ensure your payroll practices comply with all federal and state requirements. The IRS may hold the business responsible for uncollected payroll taxes.

If the person is an employee, they need to fill out a W-4 and you need to configure the employee record to match. It makes no difference if they pay quarterly taxes or the reason they do that (for example, perhaps they have a lot of investment income.)
