So, QuickBooks payroll no longer files the annual 940 FUTA report or forwards the tax to the IRS, is that correct?

QB payroll has filed the annual FUTA for the last two years, but I can't find where to download my copy. I read that this is now something I have to do manually???? If so, where is the money that was accrued for FUTA tax??

Hello, sgray98660. Thanks for reaching out.

We understand that there's some confusion on how QuickBooks handles the filing of Form 940 (FUTA) and forwarding tax payments to the IRS. Let me help clear this up for you.

Could you share where you read or heard that QuickBooks no longer files Form 940 or forwards FUTA payments to the IRS? This information will help us address your concerns thoroughly.

QuickBooks Online (QBO) Payroll still offers the option to e-file Form 940, provided the “Automate taxes and forms” setting is enabled in your payroll settings. With this option enabled, QuickBooks will handle the annual filing of Form 940.

On the other hand, if you’ve opted for “I’ll initiate payments and filings,” QuickBooks will only calculate and track your FUTA tax amounts throughout the year. In this case, you’ll need to manually file Form 940 and submit the FUTA payments yourself.

Since QuickBooks has filed your Form 940 in prior years, here’s how you can access and download your copies:

  1. Navigate to the All apps menu.
  2. Go to Payroll, then select Payroll taxes.
  3. In the Payroll Tax Center, click Filings.
  4. Hit Resources, then Archived forms and filings.
  5. Locate your past 940 forms, then click View and download them from there.

Lastly, to locate the accrued FUTA tax amount for the year, you can either view it directly from the Payroll tax payments window or run the Payroll Tax and Wage Summary report.

Please feel free to add a reply below if you have further concerns.

Thank you for your reply. I checked and the option to Automate Taxes and Forms is ON. When I didn't see the 940 filing (and still do not) I searched the online help, which indicates I have to file it myself. Note #6 and the last line below from the online help:

To file the Employer’s Annual Federal Unemployment (FUTA) Tax Return (Form 940) in QuickBooks Online Payroll:

  1. Ensure your EIN and business information are correctly entered under Payroll Settings > Federal Taxes.
  2. Review state unemployment tax payments; QuickBooks will auto-populate state info if paid in one state or mark multiple states if applicable.
  3. Use the Payroll Details report filtered by year or quarter to verify employee wages and taxable amounts.
  4. Confirm all taxable compensation types (wages, tips, fringe benefits) are included.
  5. If FUTA tax accrued is $500 or more in a quarter, deposit the tax by quarter-end; otherwise, pay with Form 940 annually.
  6. Complete and file Form 940 using the gathered data.

QuickBooks Online Payroll helps track and report the necessary information for accurate FUTA filing.
