Timesheet export errors

We are making changes to our service item list in Quickbooks Desktop, and have removed some no-longer-used Service Items to make our processes more streamlined for our employees (we run an emergency Board-Up company and our employees are on call 24/7; previously, they were clocking in and out on Tsheets for every facet of the job - "Travel to job, Taking Before Pictures, Taking After Pictures, Taking phone call", etc.). We have removed these and are now having them just do one clock in when the job starts, and one clock out when they finish the work.

 

ANYWAY, in removing those service items, when I exported my payroll to Quickbooks from Time Sheets yesterday, I have a list of errors; example of a few of them here:  

 

  • J**** S****: Sep 18: QuickBooks rejected a 0.65 hour timesheet, reason: The Service Item "NJ1.2 Travel to job" has been deleted in QuickBooks. Please edit or delete the timesheet online and sync again.
  • J*** S****: Sep 18: QuickBooks rejected a 0.00 hour timesheet, reason: The Service Item "NJ2.1 Before Pictures" has been deleted in QuickBooks. Please edit or delete the timesheet online and sync again.
  • J**** S****: Sep 18: QuickBooks rejected a 0.73 hour timesheet, reason: Billable activities must have a customer:job and service item.
  • J**** S****: Sep 18: QuickBooks rejected a 0.85 hour timesheet, reason: The Service Item "NJ2.2 After Pictures" has been deleted in QuickBooks. Please edit or delete the timesheet online and sync again.

 

 

My question is, these errors are all from prior payroll periods. How can I prevent this huge list from coming up every time I export (there are 41 of these on there!)? We'll never be using those deleted service items again, and I'm still confused as to why it came up at all since I was exporting the payroll that is current (October 4th - October 17th). Thanks in advance to anyone that can help!

Hello, you corrected this a couple weeks ago, and now it's happening again. See below. Pulling my hair out with these errors; this time period was a month ago and was approved, exported, and paid. Timesheet export errors

I also have the same problem and I need to know how to fix it.  It doesn't involve deleted service codes, but I fixed a timesheet on one day and when I tried to re-export it to QBO, the system tries to export ALL the timesheets for that day, and I get an error message for the other timesheets for that day stating there was an error exporting because the time had already been used on an invoice.  I didn't want to export the time activity in the first place, only the activity that I updated.  I know this has been fixed for me before, but now when I call in for support, no one knows how to remove the error message!

Hey there, @OfficemgrBZ.

 

I have a few clarifying questions that will help me better understand what is going on:

  • Were you fixing timesheets for one employee or multiple?
  • Did you unlock a date range to edit this timesheet? 

When you previously exported time, and it is used on an invoice, you're unable to edit that time unless you delete the invoice the time was used on.  This is something only you can do, and Support should be able to walk you through it.
