Thanks for your response, Jen!  I did end up using the chat line and one of the QuickBooks representatives informed me that the arbitrary number was actually the company ID associated with the payroll subscription.  She conferred with support staff and stated that this number's printing in box e is working as designed in QBO and that the W-2 would be accepted by both SSA and IRS upon submission.

Good day, catfruit,

Thanks for getting this to our attention. I want to ensure you're able to file your W-2's correctly.

Box D of your W-2 form is populated by a unique control number for employer records. Usually, this number is assigned by most payroll processing software to track the form in their system. Not all W-2 forms, however, includes a code in Box D since the control number itself is optional. So you're able to file the form without this field on.

If you're getting errors when attempting to e-file the W-2 form, due to the 7-digit number populating on your employee's name in Box E, I'd recommend getting in touch with our QuickBooks Online Payroll Support.

This way, they can help you investigate what's causing this unexpected issue. They also have the resources to get this escalated to our developers. Here's how to contact them:

  1. Go to this link: https://payroll.intuit.com/support/contact/?infosrc=qs&service=64
  2. Locate the phone number for QuickBooks Online Payroll in the right section.

That should do it, . Please let me know how this goes. I'm here if you need further assistance. Have a good day!
