W2

I only have one employee.  Do I need to purchase pre-printed W2's  (minimum pack of 10 for $73!) or can I print from Quickbooks and use that for filing?

Re: W2

Hello there, cdhamer.

Thanks for taking the time to reach out to us. Allow me to help and provide some insights about pre-printed form for W-2.

You can use a pre-printed or different form as long as it is scannable and the online version of it. For more information about W-2 filing instructions, you can check this website: https://www.irs.gov/pub/irs-pdf/fw2.pdf

Once you already have the scannable form, here's how you can print W-2 in QuickBooks Desktop:

  1. At the top menu bar, click Employees.
  2. Go to Payroll Center.
  3. Select File Forms tab.
  4. Click View/Print forms & W-2s.
  5. Enter Payroll PIN.
  6. Click OK.
  7. Go to the W-2 page. If you do not see a list of employees, click View/Print W-2 forms for all years.
  8. If prompted, select View Reprints.
  9. Click Continue.
  10. When Adobe Reader opens the W-2 form, print it on the correct perforated paper.

For additional reference, you can check this article: How to reprint or replace employee W-2 forms.

If you need further assistance with the steps, I recommend contacting our QuickBooks Desktop Payroll Support. They have additional tools to pull up your account and do a remote session.

  1. Click this link: https://payroll.intuit.com/support/contact/?infosrc=qs&service=16.
  2. Select your payroll subscription.
  3. Choose Payroll for the topic.
  4. Click View Contact Info to get the phone number.

That's it! Don't hesitate to leave a comment below if you have any other questions about W-2 form. Have a good day ahead.

Re: W2

No, you don't need to purchase forms.  QB will print file-able W-2's on plain paper.

I don't know what question the Intuit post answers, but it does not appear to be and answer to the OP's question.

Re: W2

If all you have is 1 employee / 1 W2, I personally would use a service like efile4biz.com.  That will cost you about 4.50 for the one W2 vs having to buy a pack of forms.  They will mail out the employee copy and e-file the official copy.  I use that myself for companies with only a few employees.  It's effective, not overly priced and rids you of the trouble of ordering forms and envelopes, stamps, trips to the post office.  Unless you have a lot of employees, I would just use the above site.  If you do use the above site, do NOT e-file your W2 from QBO because the site above also e-files the official copy.  Don't want that going in twice.
