I have an employee that claims the IRS never received her W2 when all the others didn't have a problem. Does anyone know how to resubmit an individual W2?

Hey there, @JeffT13.

 

Thanks for reaching out to the Community for support. I'm happy to provide insight into resubmitting an individual W2. 

 

To clarify, are you using QuickBooks Enhanced Payroll or QuickBooks Assisted Payroll? The steps will differ depending on which payroll service you're currently using. If you're using Assisted Payroll, then you'd need to contact our Payroll Service Team as they file the W2 for you. However, if you're using Enhanced Payroll, I've included the steps below to resubmit your employees' W2. 

 

  1. In Process W-2s, choose the Employee's Last Name.
  2. From the Select Filing Period section, in the Year field, enter the year of the form you are filing and click OK.
  3. At the Select Employees for Form W-2/W-3 window, pick the employee you are filing for. 
  4. Tap on the E-File Federal Forms.
  5. Enter the Phone Number and your company's email address on the login screen (Intuit uses your email address to notify you when the agency processes your submission).
  6. Hit Submit.

Hey there, @JeffT3

 

Thanks for reaching back out to the Community and letting us know that you're using Intuit QuickBooks Payroll for Mac. I hope your day is going well so far. 

 

You're not able to e-file your 2019 W-2's because the year has already passed. However, you can archive them and print them out to send them to the IRS if need be. Here's how: 

 

  1. Go to Taxes & Forms.
  2. Select Quarterly Forms or Annual Forms, as appropriate.
  3. Choose the desired form.
  4. Pick the liability period.
  5. Tap Archive.

 

It's that simple.

Thanks for the reply.  Under the Archived W2's 2019 isn't available for me to view.....2017, 2018, and 2020 are available however 2019 isn't and that is the year I need.  Any idea how to find them and acrhive them so I can send them in electronically?

The Forms W2 from 2019 might have not have been filed and archived at all. This can be the reason why you can't see them in the Archived forms section.

 

I'd suggest reaching out to our Payroll Support Team so they can check on your account and check if you're able to submit them through QuickBooks. Here's an article where you can see their contact details: Contact Payroll Support.

 

Also, tax forms from past years can no longer be e-filed from Intuit QuickBooks Payroll for Mac. Although, you can look for a fillable Form W2 for 2019. Then, run a report in your account to get the details and manually fill them in so you can submit the form to the IRS. You can use this article as a guide: View and Print Payroll Reports.

this sight isn't intuative at all....I need my W2 forms.  Can someone please tell me how to get them or do I need to have the Social Security Admin contact Quiclkbooks as I am unable to retrieve information I have paid for.....any thoughts, ideas, direction?

Since the steps recommend by my colleagues above does not work for you. I highly suggest reaching out to our Customer Support team. They use specific tools to pull up your account in a secure place and help you recover your W2 forms. To do so, please follow these steps:

 

  1. Head to the Contact support page.
  2. Choose QuickBooks Desktop for Mac.
  3. Then, Continue.
  4. Click the Search for something else button.
  5. A box will show up. From there, enter a brief description of your concern.
  6. Select Search.
  7. Click Start a Message
