Hello there, @matt183.
I'd be happy to provide you steps process so your contractors can see their pay stubs. To start, you'll have to invite them to fill out their W-9. This will let them have an account to view their info and payments paid to them. Here's how:
For your reference, please see this article: Set up and manage direct deposit for your contractors.
Also, feel free to reach out to our Customer Care team to further help you do any of your QBO tasks. Our live support operating hours are from Monday to Friday 6 AM to 6 PM and on Saturday 6 AM to 3 PM Pacific Time.
If you have additional questions about helping your contractors see their pay stubs, please post a comment below. I'll be always around to lend you a hand. Have a good one.
Thank you. This contractor has already entered her W-9 and we have paid her 3 times using direct deposit. She would like be able to log-in to see her paystubs. The link she originally received to enter her W-9 does not work anymore. How do I give her access to do this?
Hi @matt183,
I appreciate you for getting back to us here in the Community. Allow me to chime in and provide some clarification regarding the direct deposit paystubs in QuickBooks Online.
A W-9 will only help gather information like the contractor's name, address, TIN, or Social Security number. Currently, a direct way for them to view the paystubs is unavailable.
As a workaround, you can print the payroll details manually in the account. This way, you'll be able to send the copy over to your contractor.
I suggest using the Transaction List by Vendor report to show the payments. You can print or export the data to Excel or PDF.
Here's how:
For additional reference, I've attached a link you can use to view all payments to vendors that need to go on 1099 in QuickBooks: Create a 1099 report for vendors and vendor payments.
Drop me a comment below if you have any other questions about viewing direct deposit data. I'll be happy to help you some more.
Is there a way for the contractor to assess the paystub themselves so that we are not having to stop and do it every time someone needs it?
Is there a way for the contractor to log in to access their paystub themselves? So that business owners are not having to do this manually each time someone needs it.
The Community is here for you, @KP-OF. I can provide you with some details about the option for contractors to view their paystubs in QuickBooks Online (QBO).
The option for a contractor to view their own paystubs in QBO is currently unavailable. I know this feature is important for you and your business. With that, I recommend you send feedback to our product development team to enable this feature in future updates. I'll show you how.
You can visit our QuickBooks Online Feature Requests website to track the status of your submitted feedback.
In addition, I've added these links for future help:
Feel free to reach back to us if you need help managing paychecks with your contractor. I'll be sure to reply as soon as possible. Stay safe!
For all the changes QB consistently does daily, one would think contractors would be able to the lay stubs by now.
