How am I able to locate previous years of 941's on my desktop version?
Hello there, @locate older 941 on desktop.
Helping you locate the previous 941 forms within your company file is my priority.
If you've saved the 941 forms, you should be able to see them in the same location where the company file is saved. If you can't find them from there, we can utilize the tax form worksheet.
Before doing so, let's update QuickBooks to the latest release. An upgraded version helps you have a better experience and ensure to always have the latest features and fixes. Here's how:
Then, here's how you can pull and run the Tax Forms Worksheets report to get all the pervious 941 information. Here's how:
I'd also like to give you these articles for more references in case you might need them when preparing your tax forms:
Don't hesitate to always ask questions if you need anything else about payroll forms. I'd be glad to help you anytime. Take care.
Has this been updated yet? Using the instructions you provided, I can see in my archives that the forms have been filed and accepted. But I can't actually see the button you're showing to 'view' or 'print'. When I hit the 'print' button at the top right, it just gives me the option to print the current screen. not the actual forms. Any updates?
I've followed the steps you described above. I see the place where the forms are listed for the dates I have selected. I can see that the forms (941) have been accepted. But there's not an option to view the archived forms. when I click on 'print' it just prints the current screen showing that the forms have been accepted. How do I view the actual archived forms?
I can see the urgency of resolving this as soon as possible to have you view/print your previous payroll forms, @aaroniusa.
Before anything else, let's view/print your payroll forms in QuickBooks Online (QBO) using a different browser or a private window. This ensures that this is not a browser issue since QBO can occasionally stop working properly due to locally stored internet cache files that cause the product to behave unexpectedly.
Here's how to activate incognito mode in some of the most common online browsers:
If you finally have the option to view your prior payroll forms, it's safe to say that the browser has caused it. This can be fixed by clearing your cache and cookies. This helps refresh website preferences that might be causing problems when you use QuickBooks.
However, if the issue persists, I recommend contacting our QuickBooks Online Payroll Support Experts to help you determine why you're unable to view the previous payroll forms. They can look into this matter more thoroughly and direct you through the steps for viewing your payroll forms.
Moreover, I'll also share these articles that can serve as your reference to get answers to common payroll questions as well as methods to access your tax forms and payments in your payroll service:
I'm looking forward to getting this resolved. Feel free to leave a reply if you have further payroll concerns. The Community team always has your back. Have a good one.
Please,
aaroniusa clearly stated that she is using the desktop version. Your instructions are for the online version. I am having the same problem. In my desktop-enhanced payroll module, I can see the e-filings listed. When I click on them, I only can see the confirmation email. I want to see the actual form that was submitted to both the state and the federal agencies.
How do I do that?
oldtimer1948, thanks for reaching out to the Community. I'd be glad to assist you today.
QuickBooks Desktop Payroll Enhanced will let you generate federal and state payroll tax forms. You can submit them electronically or manually to the IRS and state agencies, then print these forms right away.
If you wish to see your saved forms, go to:

Thank you, SirielJeaB, for your quick reply. I have already found the articles that you mention in your reply. I have spent a lot of time researching this.
My problem is that it isn't working for me. When I am in the Payroll/File Forms/Filing History/E-Filings, I click on the submitted tax form, but nothing happens. I can click on the audit details button and it shows me the confirmation that the agency accepted my submission. I don't see any other portal button.
Even though I have Automatic Update turned on, I even manually updated QuickBooks again and closed and reopened the program.
Am I missing something or should I be talking to product support because my version of the software is not working?
This is very annoying because I didn't save the forms. I assumed (wrongly) that, since QB Payroll Service prepared and handled the submission, QB would always have a copy of the form for my use.
This is probably a quick fix, but I'm stymied.
Thanks for getting back and providing an update, @oldtimer1948.
I appreciate your efforts in finding a fix to your issue so you can find the forms submitted to both state and federal agencies. I'll route you in the right direction of support to help with this query.
Since you're still unable to find those payroll forms, I suggest contacting our QuickBooks Desktop Payroll Support Team. They have tools to pull up your account securely to find possible fixes.
Here's how:

I need to retrieve a form 941 from 2018
Good morning, fblakley.

So I'm able to give you the best directions, are you currently using QuickBooks Online Payroll or Desktop Payroll?

I hope this is received in the past we had QB desktop we transitioned to qb online and no longer have a subscription to desktop although we didnt delete off computer IRS needs copies of old 941 which were on desktop how can i print these off if i dont have a subscrition
@cyoungstafel Well, there's more than one way you could go here.
The easiest way is if you selected the right option on the 941 report window within QuickBooks. Specifically, the one in the lower left corner, 'Automatically create an archive when I e-file or print.'
If you did, then you'll want to go to wherever your QuickBooks file is saved on your computer and look for a folder called '{Your Company Name} Tax Form History'.
This folder should contain PDFs of all of your past payroll tax forms.
If you did not, you can probably still access them in QuickBooks Desktop under the Payroll Center, File Forms tab. I know you don't have a subscription, and it has been a while, but if memory serves, you may still be able to view it in the section called 'Filing History' under the Saved Filings tab.
If so, you'll see rows for each report with a hyperlink on the right hand side under the Saved column. You can double-click that hyperlink to view the form.
That being said, if the IRS is asking for copies of your old 941 forms, I'd put good money down that they never received them in the first place, in which case, I do not envy you.
Worst case, you can always print blank forms from the IRS website and use payroll summaries from within QuickBooks to fill them out by hand. It's not that much work, push comes to shove.
Otherwise, you'll still have access to them from the Payroll Center, then choose the File Forms tab. Go to the Filing History section under the Saved Filings tab. Once done, you'll see rows with hyperlinks under the Saved column, where you can double-click to view the form.
Which QB Desktop year version did you use? You can use the trial version as a workaround to access your historical data for good.
Your history of Payroll forms printed in QBDT is stored as a PDF on the same folder as your QB company file is located. Using your File Explorer (folder icon) go to the company file folder (usually located C:/Users/Public/Documents/Intuit/QuickBooks/Company Files) (Network you will need to ask your IT person). The folder is named <company name> Tax Form History. They are in subfolders by form type.
